Summary of Position:

This is a combined position that consists of a combination of tasks from the database administrator role and the data administrator role.

 

The Database Administrator tasks include working closely with the Outcomes Measurement Specialist to analyse database requirements within the organization. They will test and implement data collection systems and they will support the development of reports to meet frontline, management and organizational needs. Importantly, they will train staff in data entry and reporting, and ensure that data collection and use policies are being followed in a consistent way.

 

The Data Administrator aspect will be part of the Community Based Care for Newcomer Children team and is expected to work cooperatively with others, demonstrate flexibility in organizing work, show a high degree of initiative, judgement and resourcefulness. They will also demonstrate thoughtfulness in decision-making, be non-judgemental and receptive in approach, and reflect genuine concern, respect and commitment towards the individual, family and community.

 

Database Administrator Responsibilities:

  • Identify, understand and plan for organizational and human impacts of the client information management system and ensure that technical requirements are properly integrated with existing processes and skill sets.
  • Interact with the developer to understand software limitations and new functionalities.
  • Support the development of data management policies.
  • Perform system and policy testing.
  • Develop user manuals.
  • Facilitate group and one-on-one trainings for staff on their respective client information management roles.
  • Communicate with staff to elicit and analyze user feedback on an ongoing basis and address issues.
  • Control and monitor user access to the client information management system.
  • Pull information out of the Client Information Management System and bulk upload it into funder databases.
  • Use other Microsoft programs such as Forms and Power BI for data collection and visualization
  • Carry out other duties agreed upon in consultation with the Outcomes Measurement Specialist and Deputy Executive Director

 

 

Data Administrator Responsibilities:

  • Maintain and update database of childcare provider information.
  • Track all statistical data using Excel database.
  • Work with administrator to update and design new forms as required.
  • Keep accurate records of payment agreements, invoices and receipts for all childcare providers enrolled in the project.
  • Provide accurate and relevant statistical data to the coordinator for the purposes of funder reporting.
  • Respond to incoming telephone calls providing informative, accurate information.
  • Operate office machines, such as photocopiers and scanners, facsimile machines and voice mail systems.
  • Carry out other duties agreed upon in consultation with the program coordinator.

 

Technical Qualifications and Skills:

  • Degree/Certificate in related field
  • Familiarity with client information management systems, knowledge of Microsoft Dynamics 365 is an asset, desire to learn is essential
  • Experience facilitating individual and group trainings is essential
  • Previous experience as a data analyst is an asset
  •  

Administrative Qualifications and Skills:

  • Training and/or experience in finance administration is an asset
  • Excellent skill in Microsoft Office software, especially Excel
  • Knowledge of services and supports available to immigrants in Edmonton is an asset
  • Comfortable working in a cross-cultural environment; respectful of individual and cultural differences
  • Excellent oral and written communication skills
  • Ability to work in a busy “people oriented” environment
  • High degree of initiative and ability to work with minimum supervision
  • Security Clearance conducted by the Edmonton Policy Service
