Norwood Child and Family Resource Centre is an Edmonton based non-profit organization that has been supporting children and families since 1963, with a vision of Healthy Children, Healthy Families, Healthy Communities. Our programs and services are designed to strengthen and enrich families with children birth – 5 years old. The Administrative Assistant provides a full range of administrative support to NCFRC. This position encompasses reception, social media and communications, database entries, and other administrative processes. As one of the first people that visitors and clients meet at the Agency, the Administrative Assistant models the values of the Agency through a friendly, compassionate and professional manner.


This position requires a flexible work schedule that includes evenings and weekends to meet the needs of the families.

Reporting to the Administration Supervisor, the Administrative Assistant is responsible for the following:

  • Providing backup reception support daily
  • Maintaining accurate Program Manuals (proper formatting, update hyperlinks, etc.)
  • Entering accurate Group attendance and intakes into database while abiding by Agency requirements
  • Maintaining Agency website and social media accounts (4)
  • Creating and distributing publications: monthly newsletters, post cards, and posters
  • Coordinating internal IT Equipment bookings
  • Providing trouble shooting technology assistance as requested, and ensuring transfer of knowledge regarding routine computer fixes as appropriate
  • Providing administrative support to staff, i.e. faxing, typing minutes, printing and collating documents, booking appointments, laminating, building reference binders, creating promotional materials, etc.
  • Attending all team meetings to document minutes and actionable items
  • Process outgoing and incoming mail and courier shipments

The ideal candidate will possess the following qualifications:

  • Completion of a post-secondary Office Administration Certificate or an equivalent program
  • Minimum of 2 years’ experience in a busy reception or office administration environment
  • Strong working knowledge of Office Programs: Outlook, Word, Excel and Publisher
  • Expertise with accurate data entry and the ability to navigate around databases
  • Eager to learn new programs and processes
  • Experience with providing suggestions to improve process
  • Experience providing support to a large staff group
  • Ability to work effectively and collaboratively in a team environment
  • Valid driver’s license and access to a reliable vehicle
  • A current Criminal Record Check and Child Welfare Intervention Record Check
