The successful candidate will be required to submit a current (date within the last 6 month) Criminal Record Check (Vulnerable Sector Check) and Chile & Youth Intervention Check prior to work commencement. This is a 6 month position with the possibility of extension.  The hours of work are primarily Monday-Friday, 8AM-5PM with occasional evenings and weekends required.



Working within the context of a client-centered care model, the vision/values of the SCS agencies and within the harm reduction framework. The Administrative Assistant-SCS assists in providing a safe, non-judgmental environment for SCS service users, many of whom have a variety of acute and chronic illnesses / diseases, including communicable diseases, problematic substance use, general health issues and related experience with stigma, poverty and marginalization.



The SCS Administrative Assistant is responsible for providing support to the Supervised Consumption Services team in all administrative areas including but not limited to: database management, procurement and staff scheduling.  In addition, the SCS Administrative Assistant will work in collaboration with SCS management, staff and other community agencies as needed to support and assist with SCS delivery.



  • Maintain a welcoming, safe, service-oriented environment
  • Building rapport and relationships with community members, staff and visitors
  • Handle sensitive information in a confidential manner
  • Create and maintain the SCS staff scheduling between various locations, managing staff requests for time off, covering sick days and ensuring staff coverage at all times
  • Maintain up-to-date employee holiday and staff training records
  • Prepare reports, collect and analyze information
  • Manage calendar for Director: organize and schedule meetings and appointments as needed
  • Maintain supplies inventory: re-ordering and expediting orders for supplies, verifying receipt of supplies in collaboration with SCS staff
  • Prepare and monitor invoices for supplies delivered to external agencies as needed
  • Ensure operation of office equipment and order maintenance when necessary
  • Develop and maintain computer and manual filing systems
  • Develop and update administrative systems to make them more efficient
  • Attend meetings in order to record minutes and take notes
  • Perform general clerical duties such as photocopying and printing of documents on behalf of colleagues
  • Monitor individuals’ activities and enforce the SCS Code of Conduct as necessary
  • Provide support in basic first aid and life support in medical emergencies



  • Administration or Medical Office Assistant Diploma/Certificate from a recognized institution is an asset

Skills, Abilities and Attitudes:

  • Mature attitude with a high level of discretion required
  • Ability to work in a fast paced, ever changing, often demanding environment
  • Strong organizational and planning skills
  • Proficient in MS Office, Excel, Outlook, Access, with the capacity to learn new systems
  • Able to achieve and maintain good self-care
  • Exceptional attention to detail and excellent organizational and time management skills
  • Demonstrates commitment and innovation to work assignments


  • At least 2 years’ working in a professional administrative role
  • Knowledge of and experience working in the non-profit sector is an asset
  • Knowledge and experience of First Nation, Inuit, Métis culture is an advantage
