The Mustard Seed provides basic services—food, clothing and housing, and support services—education and employment, to those living in poverty within Alberta and British Columbia.



The Administrative Assistant plays a significant role in financial processing, facilitating communication, and supporting administration at The Mustard Seed.  The Administrative Assistant is also the first person of contact for individuals phoning in or walking through the front door of the Community Support Centre. 



  • Departmental Support to the Development Manager, Basic Services Manager and Housing Supervisor. This includes:
    • Screening, redirecting and responding to phone calls in a professional manner
    • Processing mail and email correspondences
    • Drafting and preparing reports, correspondences and communications
    • Preparing presentations using PowerPoint or other presentation software
    • Assisting in budget preparation and tracking
    • Arranging all travel requirements
    • Coordinate and schedule relief staff for departments
    • Work with the Executive Assistant to the Managing Director to streamline processes and procedures
    • Meet weekly with the Managing Director for monitoring and support
    • Assist the Managing Directors office with occasional tasks (eg. Organizing staff activities.)
  • Financial Support
    • Process all donations in a timely fashion
    • Record donor contact information in the appropriate software
    • Input monthly rent cheques/cash received in housing software
    • Reviewing and reconciling expense reports, corporate credit card statements and invoices
    • Be the Edmonton staff liaison with Central Services Finance Department
    • Deposits, invoicing and other financial tasks as they arise
  • Reception
    • Be the first point of contact at the Community Support Center
    • Greet each person arriving with warmth and friendliness, being attentive to their request
    • Welcome all visitors who contact The Mustard Seed by phone, in person or email in a professional manner
    • Ensure that Community Participants, donors, volunteers and visitors have a positive first impression and are directed to the appropriate person
    • Maintain a welcoming reception area
    • Pickup and send out mail and regular courier packages
    • Other duties as assigned



  • Finance or Business Administration certificate or diploma would be an asset
  • 3 years of experience in an administrative role
  • Financial experience is required
  • Must be able to relate well to people from diverse backgrounds
  • Must possess strong oral and written communication skills
  • Positive attitude with strong customer service skills
  • Proficient in Microsoft Office Software and database management
  • Strong organization skills and ability to multi-task and prioritize
  • Able to pick up and implement new skills quickly and adapt to change



  • This is a permanent Full-time position, Monday to Friday 8:00 am–4:30 pm
