COSTI REQUIRES A CLERICAL ASSISTANT FOR ITS

VAUGHAN WELCOME CENTRE

This is a part time non-Union contract position scheduled to work 17.50 hours per week**

(Current incumbent is on Maternity leave)

 

DUTIES

 

  • Greets visitors/clients and directs them to appropriate service/person.
  • Operates the main phone switchboard; screens and directs calls to appropriate person/department.
  • Provides callers/visitors with information on organization services and programs.
  • Receives and forwards telephone inquiries to appropriate person and provides general information to clients and the public.
  • Schedules appointments for clients.
  • Enters client initial contact information and service forms into Case Management database.
  • Scans client documents into database.
  • Sorts and routes incoming mail, faxes and other materials; Prepares interoffice courier to other Centers.
  • Maintains Centre and program materials and information.
  • Provides administrative and secretarial support for the Centre.
  • Prepares minutes of monthly all staff meeting.
  • Types and proofreads correspondence, reports, work orders, statements and forms.
  • Perform other duties as required.

 

QUALIFICATIONS

 

  • High school graduation or equivalent and 12 months office experience.
  • Working knowledge of Windows software e.g. Microsoft Word, Internet and Email.
  • Typing skills: Minimum 40 words per minute.
  • Knowledge of office procedures.
  • Verbal and written fluency in English is required; the ability to speak another language would be an asset.
  • Sensitive to the needs of newcomers.
  • Must have strong customer service orientation.
  • Works flexible hours as needed, this includes Monday and Wednesday evenings until 9:00 p.m. and Saturdays 9.00 am until 3.30 p.m.

 

LOCATION:                                       9100 Jane Street, Vaughan Welcome Centre

DURATION:                                       December 3, 2018 to June 6, 2019

STARTING SALARY RANGE:         $19.60 to $21.10 per hour

POSTING DATE:                               October 12, 2018       

CLOSING DATE:                              October 25, 2018
