Position Title: Receptionist/Administrative Assistant

Position Type: Full Time; temporary contract until March 2019 (with the possibility of extension)

 

Organizational overview: Reception House Waterloo Region is a non-profit organization that provides a range of settlement supports to newly arrived refugees.

 

Scope: The successful candidate thrives in a fast-paced environment, is able to manage and prioritize varied tasks, has exceptional attention to detail and a quick response time with a customer service focus.  The Receptionist plays a key role in the organization as the first point of contact for clients and partners. The position is based at of our Queen St office but the incumbent will be expected to provide reception and administrative cover at other sites, as necessary.

 

Qualifications:

- Diploma in related field or 1-3 years’ experience working in an office environment

 

Key Responsibilities:
- Understand and be committed to the Reception House mission (www.receptionhouse.ca)
- Welcomes and greets clients, walk-ins and scheduled visitors and directs to appropriate area or person.
- Receives and distributes mail and reception area communications including email and faxes for program staff.
- Organises and orders stationary and ensures office equipment in shared spaces is working properly

- Organises shared spaces (including kitchen, bathroom) and supplies.

- Provides mutual back-up support to other Administrative/Program staff, as required.

- Organises the logistics (includes arranging venues, refreshments, documents, etc) of Board meetings and other key internal and external meetings.

- Types and distributes notes for Executive Director, as requested.

- May be assigned special or ad hoc projects and/or office events.

 

Essential Skills:
- Strong customer service; pays attention to detail.
- Computer skills with standard business applications, such as Word, Excel and PowerPoint and knowledge of office systems (photocopier, fax, multi-line telephone systems).
- Proven organizational skills with the ability to multi-task and be flexible.
- Enjoys working collaboratively in a busy environment.
- Excellent oral and written communication skills.
- Ability to interact in a positive manner with others at all levels and across all departments.
- Innovative spirit willing to introduce new techniques and technologies to proven processes in effort to enhance customer experience, communication and efficiency.
- Experience working with refugees and/or marginalized populations.

- Fluency in English and one of more of the following languages: French, Arabic, Somali, Tigryna, considered an asset.

- Past executive assistant and/or customer service related work would be beneficial
