The BC Wildlife Federation (BCWF) is the leading conservation organization in BC.  As a province-wide non-profit charitable association with over 43,000 members and more than 100 Member Clubs, our organization represents the interests of all British Columbians whose aims are to conserve and protect BC’s fish, wildlife and habitat for present and future generations. 


We are currently searching for an Administrative Assistant who will primarily be responsible for assisting with tasks relating to Membership.  This position will administer the member recruitment and retention program and processes.


Duties and Responsibilities will include:

  • To act as the first point of contact for all members and prospective members, taking enquiries via multiple communication channels, providing a high level of customer service, and updating the database (Raiser’s Edge) accordingly.
  • To manage the member life cycle i.e. process sale and payments through all channels (phone, mail, and online), administer benefits and send renewal communications.
  • To manage relationships with Member Clubs and club administrators by answering inquiries, invoicing, sending master lists and facilitating annual renewals.
  • To prepare club member spreadsheets for database import using Import-O-Matic.
  • To process new and renewing memberships for Club Members and prepare membership packages for mailing.
  • To assist with contacting members who do not have a valid address and updating the database.
  • To process payments by credit card, cheque or cash and liaise with the Finance Department to ensure accurate and up to date recording and reconciliation of payments.
  • Assist in the development of the membership recruitment and retention strategies.
  • To assist in the creation and development of membership and marketing material e.g. letters, new member welcome packs, newsletters, e-communications, member questionnaires and brochures.
  • Provide Reception coverage while Receptionist is away from desk or taking a break.
  • To attend events, both internally and externally to promote the BC Wildlife Federation and its membership opportunities.
  • Other duties as assigned

Additional Responsibilities:

  • Manage and contribute to the development of the CRM system and database.
  • Provide administrative support to the Membership Manager.
  • Must be available to work occasional evenings and weekends.

Corporate Development:

  • Understanding and supporting the vision, mission and aims of the BC Wildlife Federation.
  • Maintaining awareness of BC Wildlife Federation policies and procedures.

Qualified Candidates will possess:

  • Minimum 1 years’ experience in an office environment;
  • Good knowledge of Raiser’s Edge products, including experience with Blackbaud Net Community;
  • Exceptional written and spoken English language communication skills;
  • Computer and internet skills, including Microsoft Office and other databases;
  • Minimum 50 WPM, typing speed;
  • Data Entry - High level of accuracy and efficiency;
  • Experience working in funded programs and non-profit, preferred;
  • Second language an asset;
  • Ability to work independently and collaboratively in a dynamic group environment; and
  • High degree of integrity and ability to maintain confidentiality.


This is a permanent full-time position and our offices are conveniently located close to Hwy 1 and the Golden Ears Bridge.  Occasional evenings, weekends and extended hours will be required to accommodate activities and events of the association.
