About the Position:

The Program Assistant is responsible for providing program delivery support to clients and administrative support to the program team. They are also responsible for financial administration to ensure program expenditures are accurately documented and processed according to agency policies and procedures. The Program Assistant also answers client inquiries about the Program and, if required, refers them to other services offered by S.U.C.C.E.S.S. or other community organizations. They also provide overall administrative support including data entry, answering incoming calls, ordering office supplies, and maintaining a professional office environment.

Reports to: Program Manager

 

Key Duties and Responsibilities

  • Perform reception duties including providing program information, registering clients for information sessions and intake assessment
  • Develop, organize and maintain the program filing system, including client files, bookkeeping records, etc.
  • Enter data from client files into appropriate database
  • Compile project statistics and aggregate data
  • Assist the team to prepare monthly, quarterly and annual reports
  • Prepare and update promotion materials such as brochures, banners, and social media
  • Assist in program marketing and promotion activities
  • Prepare logistics for program activities including information sessions, workshops, hiring events, etc.
  • Maintain a bookkeeping record of all program expenses
  • Assist Program Manager to reconcile monthly, quarterly and annual financial statements
  • Maintain program inventory lists
  • Organize and order office and program delivery supplies
  • Process incoming invoices in a timely manner
  • Prepare timesheets and maintain records
  • Prepare minutes of staff meetings
  • Provide administrative support to the program team
  • Ensure services provided meet service standards, align with best practices, and adhere with the agency’s philosophy
  • Participate in the department’s performance and quality improvement (PQI) activities

 

Qualifications and Experience:

  • Bachelor’s Degree in Accounting / Finance, Business or related field, or an equivalent combination of education and experience (i.e. Diploma in Accounting / Finance or related field and 2 years of experience in the field)
  • 1 year of employment services experience
  • Experience with bookkeeping
  • Experience in working with diverse client population groups
  • Experience in marketing and promotion

  • Knowledge of community services and resources in the Metro Vancouver region
  • Exceptional customer service skills, including ability to communicate effectively and compassionately with diverse clients
  • Strong administration, clerical and bookkeeping skills
  • Strong initiative, creativeness and eagerness to work for results
  • Action and outcome-oriented
  • Flexible and dedicated to quality work
  • Competent to handle multi-tasks and deadlines
  • Able to adapt to program changes
  • Excellent attention to detail and commitment to excellence in service delivery
  • Able to work independently and possess strong interpersonal skills
  • Strong computer skills in MS Office suite

 

Other Requirements:

  • Able to work on weekends and evenings as required
  • Clear Criminal Record Check required
