Staff Development Administration

  • Develop training schedules
  • Ensure arrangements are made for training events, trainers, learners, equipment and course materials
  • Arrange and track training attendance
  • Ensure database is up to date with training attendance information for employees
  • Participate and assist in the development of learning materials and delivery of trainings as requested and required
  • Ensure information about employee development opportunities or training requirements are communicated in a timely manner

HR Administration

  • Collect and screen applicants
  • Notify applicants of selection process results as needed
  • Advise job applicants on employment requirements and on terms and conditions of employment
  • Conduct reference checks as required
  • Prepare new hire packages 
  • Ensure appropriate documentation are completed and returned
  • Ensure new employees are scheduled to attend initial mandatory training and orientation
  • Track wage increases, probationary periods, anniversary dates etc and notify Coordinators/Directors as needed
  • Create, manage, and maintain all personnel files
  • Ensure completion and secure storage of records and documentation is in accordance with agency policies and procedures
  • Assist with other HR strategies and functions as requested

Resource Development

  • Develop a resource library of varied training options
  • Establish and maintain a skills inventory of all employees
  • Keep abreast of training resources, trends and developments relevant to employee learning
  • Participate in community events related to recruitment
  • Develop promotional materials
  • Act as a point of contact for IT support, hardware and communication issues and purchasing of hardware/software
  • Maintain website
  • Create content for newsletter and oversee distribution
  • Provide support related to the use of technology (Office 365, computers, phones, database, and cell phones)


  • Interact effectively with the Winnserv team and the community at large, modelling Winnserv's values in all relationships
  • Demonstrate clear and effective communication (orally and in writing)
  • Effectively communicate through group presentations and facilitation
  • Demonstrate an understanding of legal and ethical standards related to confidentiality, professional conduct and practice
  • Participate in obtaining feedback on employee satisfaction and carrying out employee surveys and exit interviews
  • Keep up to date with employment standards, human rights, and other legislative and legal requirements for employers
  • Participate in the Workplace Safety & Health Committee

Education & Experience

  • Administrative Assistant/Professional Certificate or Diploma from a college or recognized training program or relevant certificate or degree in Human Resource Management preferred.
  • Minimum of 5 years' experience in an administrative role.
  • Other combination of education and experience may be considered.
  • Excellent working knowledge and integration of the following programs: Windows, MS Word, Excel, PowerPoint, SharePoint, Outlook, Office 365, Publisher.
  • Excellent working knowledge of audio/visual equipment.
  • Database management is an asset.

Skills and Abilities

  • Advanced word processing and grammar/writing skills and computer applications.
  • Excellent file management skills.
  • Possess a 'can do' and 'will do' professional attitude.
  • Demonstrated ability to work in a fast paced and time sensitive environment.
  • Ability to work collaboratively and independently.
  • Ability to organize and follow-up on multiple tasks/details with accuracy and timeliness.
  • Ability to effectively interact with all employees at all levels of the organization and with a variety of people from diverse backgrounds.
  • Ability to read and write correspondance in English.
  • Obtain a satisfactory Criminal Record Search, Adult Abuse and Child Abuse check.
  • Maintain a valid Driver's license and use of personal vehicle.
