Administrative Assistant

Location: Vancouver Hospice

Reporting to: Director, Volunteer & Support Services

Job status: Permanent, part-time (45 hours bi-weekly with flexibility depending on candidate’s preference)

Hourly rate: $20.67 - $24.99

 

SUMMARY

Reporting to the Director, Volunteer & Support Services, the Administrative Assistant is responsible for the day to day administrative duties of the Volunteer & Support Services Department, working collaboratively with the Coordinator and Director to ensure the effective organization and service delivery of Volunteer Services, Food Services and Housekeeping. 

 

EDUCATION AND EXPERIENCE

  • High school diploma plus a minimum of two years administrative assistant experience working in a team environment.
  • Non-profit and/or experience in a volunteer environment is an asset

RESPONSIBILITIES

  • Provides administrative assistance for the day-to-day operations of the Volunteer & Support Services Department.
  • Assists the Coordinator with printing schedules, communicating shift changes and filling vacant shifts or other volunteer support requests, as needed.
  • Responds to volunteer applicant enquiries, tracks applications and assists with screening, conducting interviews, and general onboarding duties.
  • Inputs volunteer data into the volunteer database (Better Impact) provides reports and statistics as required by the Director and Sr. Coordinator.
  • Creates and maintains hard copy volunteer files and archives inactive files as required.
  • Assists with volunteer recognition events and activities including annual recognition event, education mingles, greeting cards, and reference letters.
  • Works in conjunction with the Sr. Volunteer & Support Services Coordinator and provides support for volunteer recruitment and training initiatives.
  • Assists with Canuck Place Children’s Hospice (CPCH) special events including, but not limited to, Family BBQ, Winter Family Festival, and galas as required.
  • Builds and maintains interdisciplinary relationships with CPCH team members as well as with Food Services and Housekeeping teams.
  • Provides administrative support for Volunteer Leadership Team meetings and education mingles.
  • Provides back-up for the Volunteer Coordinator role and/or Sr. Volunteer Coordinator role, as required.
  • Assumes other related responsibilities, as assigned.

QUALIFICATIONS

What you bring to the role:

  • Demonstrated administrative and organizational skills.
  • Intermediate experience using Microsoft Office programs (Word, Excel, Outlook, PowerPoint).
  • High degree of discretion and maturity in handling confidential information and situations, including the ability to work with children and families sensitively.
  • Ability to work collaboratively as a member of a team.
  • Excellent interpersonal, written and verbal English communication skills.
  • Demonstrated strong relationship building skills with individuals at all levels.
  • Ability to establish and maintain appropriate professional and personal boundaries.
  • Experience using a volunteer database management program (e.g. Better Impact) is an asset.

Note: Flexibility is necessary, as this position may require occasional weekend and evening work and travel within and outside the Lower Mainland.
