Job Overview:

Reporting to the Director, Finance, the Office Administrator is a key member of the agency Administration team.  The position works in collaboration with other team members to support agency operations and programs contributing to a positive work environment. Key aspects of the position are IT support, building maintenance and contracts, committee participation, records management, word processing and document/project support.

 

The position is permanent full time (37.5 hours/week) with occasional evening work for events and meetings. The position is based out of the downtown office located at 9930-106 Street but travel to other sites is required.

 

Key Responsibilities

  • Oversee the IT needs of the organization’s 3 sites with responsibilities including:
    • Communicate with service provider
    • Assess needs and providing recommendations to ensure the agency is using appropriate technology which supports and improves communication to advance employee communication and productivity
    • Train staff to optimize technology
    • Trouble shooting of issues
    • Maintain user accounts and manage cell phone accounts
  • Oversee the building contracts to ensure building standards and needs are maintained by coordinating maintenance and landscaping of buildings to ensure they are safe for visitors and staff
  • Provide administrative support to the leadership team including preparing Word documents, Excel spreadsheets, and PowerPoint presentations
  • Manage records and files for proposals and major project work and ensure their confidentiality
  • Participate as a member of the policy committee and attend other meetings as required

Qualifications:

  • Certificate in office administration or equivalency
  • Minimum 5 years’ experience in a dynamic fast paced and progressive work environment
  • Extensive experience providing IT support
  • Advanced level proficiency in Office 365/ and Microsoft Office
  • Demonstrated experience as an effective coach and able to teach others
  • Valid Driver’s License and reliable vehicle to travel to various sites
