The Volunteer Coordinator Assistant will work as a contractor to Arts on the Ave Edmonton Society.

 

Job Purpose

 

The Volunteer Coordinator Assistant will work under the guidance and direction of the Volunteer Coordinator. During our two annual festivals will also report to the Festival Director and Festival Producer. The Volunteer Coordinator Assistant will be responsible for planning and coordinating volunteer orientation dinners, volunteer appreciation events, and will support the Volunteer Coordinator in the recruitment, coordination, and management of volunteers for Deep  Freeze: A Byzantine Winter Festival (285 volunteers). Ideally this position would be returning in Fall 2020 for Kaleido Family Arts Festival and the following Deep Freeze: Byzantine Winter Festival. 

 

General Job Description

 

This is a part-time position, with additional hours required during planning and development of the two annual arts festivals,  Deep Freeze: Byzantine Winter Festival (January 11 & 12, 2020) and Kaleido Family Arts Festival (second weekend in September). This part-time contract position begins as soon as possible with hours increasing leading up to the festival. Additional hours and evenings are normal and are to be expected. 

 

Duties and Responsibilities

 

o Planning, coordinating, executing volunteer orientations and volunteer appreciation events

o Assisting the Volunteer Coordinator in:

  • Updating of volunteer recruitment forms and online tools

  • Development and recruitment of volunteers including preparing Call for Volunteers, posting Calls for Volunteers on various outlets etc.

  • Scheduling volunteers through Better Impact Database

  • Creating and executing volunteer training

  • Set up, management, and strike of the Volunteer Centre during festivals

  • Set-up, management of Volunteer Check-in during festivals

  • Creation and execution of a volunteer survey, after festivals

  • Maintaining effective communication with all volunteers via email, phone, and social networking sites

  • Supervising volunteer shifts during the festival; working closely with various festival departments to assign volunteer shifts

  • Administrative and office duties as required

  • Preparation and delivery of a final Festival Volunteer report

  • Attend regular festival planning meetings when necessary

  • Oversee the Kaleido website if necessary

  • Other job-related duties as required

Qualifications:

 

o Experience with volunteer management. 

o Experience with Better Impact software is an asset.

o Ability to build effective relationships within the arts communities

o Detail-oriented team worker who is able to work independently

o Great communication and problem-solving skills

o Computer literate (especially with Excel, Word, and MailChimp)
