West Scarborough Community Legal Services, a community legal clinic, seeks a service-focused individual passionate about social justice and making a difference in people’s lives. Our diverse staff provide legal services, as well as outreach initiatives, to low income residents in the culturally diverse Scarborough community. Our practice in poverty law includes tenants’ rights, income maintenance, employment and immigration matters.


We are currently hiring a 6-month contract Administrative Assistant to work in-person at the legal clinic to provide intake, reception and administrative support to staff.  The anticipated start date is August 19, 2024. Compensation is $46,000 commensurate with qualifications and experience and the compensation package, if eligible, includes a comprehensive co-funded health and dental benefits package and 5.5% RRSP contribution. This is a unionized position.




  • Serve as first point of contact for clientele and others
  • Punctually open office for business each day
  • Initial intake of clients & determination of their eligibility for our services; appropriate referrals for clients who do not meet our mandate
  • Elicit, summarize & create records in Client Management database (CIMS)
  • Provide basic information regarding clinic services & referral information to community resources
  • Accurately record & digitally file information from all sources, including by telephone, fax, email, text, other communications and in-person visits
  • Update referral materials in a timely manner including maintaining pamphlets & forms

Administrative Support

  • Provide general administrative & case support to staff with scanning, faxing, copying, filing, emailing & saving documents to clinic network, processing mail etc.
  • Assist staff with managing client & initiative files in CIMS
  • Monitor electronic faxes
  • Maintain office equipment database
  • Maintain office equipment
  • Assist with the development of office procedures
  • Assist with the maintenance of the clinic website & social media
  • Other duties as assigned.

 Preferred Skills & Experience:

  • Related post-secondary diploma or degree or demonstrated office administration or client service experience
  • Excellent interpersonal skills & sensitivity to the diverse and vulnerable needs of the clientele
  • Excellent verbal & written English communication skills
  • Excellent & accurate keyboard skills
  • Excellent MS Word, Excel, Microsoft Outlook , Adobe, internet research skills & the ability to learn new software quickly
  • Proficiency with digital tools including video conferencing & social media
  • Ability to work with minimal supervision as well as collaboratively as part of a team & to take direction
  • Flexibility & ability to manage competing priorities & multi-task
  • Ability to innovate & learn & adapt to new or modified policies & procedures
  • Commitment to the social justice work of the legal client to deliver high quality legal services to disadvantaged individuals


  • Proficiency in French or other languages spoken by those we serve
  • Experience in a legal clinic or other non-profit
  • Experience using CIMS (Client Information Management System)
