Position: Program and Logistics Coordinator
Purpose: The Program and Logistics Coordinator is responsible for the organization of AMSSA events designed to enhance service delivery for temporary residents and refugee claimants and promote BC community building. This position is responsible for the planning, coordination and logistics of events, working closely with the Provincial Integration Team.
Reports to: Provincial Integration Program Manager
Classification: Full-time Contract from September 1, 2024 until March 31, 2025 with possibility to renew based on funding
Hours & location: 35 hours per week - combination of working from home and from AMSSA's office located Metrotower II, Suite 2308, 4720 Kingsway, Burnaby, B.C. V5H 4N2
Salary: $32.60 / hour plus - eligible for benefits after three months

DUTIES

  • Ensures all activities are aligned with AMSSA program goals, objectives and policies
  • Administers all event coordination systems including production schedules, expense tracking, and contact lists
  • Arranges and communicates with event presenters, ensuring they are prepared and supported, and have completed the necessary documentation
  • Plans and coordinates AMSSA and event advisory committee meetings, including agenda development and meeting minutes
  • Arranges services with vendors ensuring they meet event needs
  • Develops event materials including but not limited to event packages, programs and signage
  • Coordinates registration, accommodation and transportation for registrants, and acts as their primary contact
  • Coordinates all on-site event set-up and logistics
  • Acts as the main liaison with venue staff, AMSSA staff, event facilitators, audio visual team and event production team prior to and during events
  • Coordinates event evaluation and assists in the development of event reports
  • Works with the AMSSA team on related emerging projects as required

QUALIFICATIONS

  • 2-3 years of experience working in supporting collaborative initiatives, project and/or event planning, preferably with experience in the settlement and integration sector
  • Experience in participating on committees and in meetings, conferences, and events
  • Understanding of theoretical approaches to immigration and migration including: multiculturalism, diversity, social inclusion and social sustainability
  • Demonstrated ability to write, proofread and edit communication materials
  • Strong time-management skills and the ability to prioritize, organize and coordinate multiple activities at once
  • Excellent oral, written and interpersonal communication skills
  • Familiarity with not-for-profit associations and/or government funded programming is an asset
  • Strong critical thinking and problem-solving abilities
  • Adaptive and responsive in a dynamic work environment and with shifting priorities
  • Ability to work independently, while being a collaborative and communicative team member
  • Demonstrated attention to detail, professional attitude, and ability to maintain confidentiality.
  • Proficient with a variety of software and applications: Office 365 including Outlook, Word, Excel, and PowerPoint; Constant Contact/Mailchimp and database management tools; Canva; Google Documents and Spreadsheets with an aptitude to learn new software and systems
  • Knowledge of current technological online meeting platforms: Zoom meetings and webinars, MS Teams and of cloud-based electronic filing through Dropbox, Google Drive and One Drive
