PURPOSE
• Collaboratively develop and implement programs and services that strive to alleviate food insecurity in Alberta by providing the opportunity to purchase nutritious food at an affordable price and participate, cooperate, and self-manage the society through which members receive their food.
DUTIES AND RESPONSIBILITIES
Organize programs and activities in accordance with the mission and goals of the organization. Hybrid role, with opportunity to work from home some days, and other days from WECAN's office in the Jerry Forbes Centre, 12122 68 Street NW. Two days per month (Depot Days) will be at Edmonton's Wholesale Market at 11628 142 Street NW.
Operations:
- Support organizations and community members to develop new depots and liaisons, prioritizing underserved communities.
- Support the development and resilience of depots run by member-volunteers by: Providing training, information resources, skills development, and volunteer recruitment, screening and appreciation
- Liaising with communities and organizations to promote the programs and projects of the organization.
- Participate in food selection committee and coordinate with food supplier(s) to develop monthly food order(s).
- Review, coordinate payment and reconcile food order(s) with supplier(s).
- Organize the monthly food distribution at the warehouse, including appropriate staffing support for the two distribution days.
- Recruit volunteers in accordance with policy and procedures, interviewing, training, orientation and obtaining police information checks.
- Provide backup staffing for unfilled staff and volunteer positions when necessary for program delivery.
- Organize and implement regular volunteer appreciation activities in collaboration with the board of directors.
- Develop and update operational manuals and procedures for operations of depots, liaisons, office, and warehouse.
- Assess program strengths and identify areas for improvement.
- Implement and manage changes and interventions to ensure program goals are achieved.
- Track and collect operational data, order numbers, food expenditures and order volumes to identify program strengths and areas of improvement.
- Meet with and maintain regular contact with individuals from key stakeholder groups, including coordinators, members, and member-volunteers to nurture engaging relationships.
- Manage yearly calendar for operations of depots, liaisons, office, warehouse, and contracted services.
- Develop personal competency in Microsoft 365 applications including Word, Excel, Outlook, Sharepoint and OneDrive.
- Develop personal competency in information and content management applications including Wordpress, CiviCRM and Notion.
- Manage monthly online ordering events and related communications to ensure smooth operations and access for members, resolving bugs with tech support as they arise.
Financial Management:
- Maintain and review food account in conjunction with staff and board of directors.
- Collect, coordinate, and review necessary documents for monthly payroll and sign expenditures as required for operations.
- Supervise office and program expenditures to ensure alignment with the operating budget.
- Review monthly reconciliation of food ordering and invoicing, resolving, and reporting any discrepancies or issues that arise during ordering cycles.
Community Relations:
- Act as a primary point of contact for the public for the organization.
- Liaise with organizations in Alberta to promote the programs and projects of the organization.
- Participate in meetings and community events at Jerry Forbes Centre to mutually support and network with organizations that have compatible goals.
Board of Directors:
- Act as primary staff contact to the board of directors on organizational operations.
- Report monthly to board of director meetings and annually to the annual general membership meeting.
- Participate with the board of directors in developing proposals for new projects to support the strategic direction of the organization.
- Support fundraising committee by providing information about program delivery for writing funding proposals.
- Support communications committee by providing information about program delivery for producing materials, content and messaging for outreach and marketing.
- Participate with board of directors in developing a strategic plan, budget and operating plan for programs and projects.
- Provide information technology support to board members
WORKING CONDITIONS
The work schedule may be determined at the discretion of the Program Manager but shall typically be performed during regular daytime working hours excluding statutory holidays. Based on the workload, some evening and weekend hours may be required from this position. This role is anticipated at 20 hours per week.
PHYSICAL REQUIREMENTS
This is a physically demanding job during distribution days. The program manager may be required to stand for extended periods of time, lift heavy objects, and do repetitive tasks.
