SUMMARY OF RESPONSIBILITIES

The Registrar is an integral member of the Clubs and Camp Potlatch teams and coordinates all aspects of the registration experience for those programs. They work with a team of Coordinators to support the needs of the registration process and the strategic promotion of BGC programs.

 

The Registrar oversees the Registrar Office, including the Assistant Registrar(s), and is often the first point of contact for families in their registration process. They are responsible for building and maintaining relationships with families, supporting them through the registration process, and helping to ensure that every child and youth who wants to attend a Club or Camp Potlach gets the opportunity. 

 

JOB DUTIES

•        Manages the online registration database (CampBrain) to its full capacity.

•        Communicates with families regularly to ensure that all registrations are complete, as well as to share information, promotion and resources from BGC.

•        Oversees registration payments, including the tracking of payments, meeting budgeted revenue targets and reporting on those metrics.

•        Works to fill participant capacity. Regularly monitors registration trends and works with Program Directors and Marketing & Communications Coordinator to ensure targets are met including identifying new strategies and opportunities.

•        Communicates with families requiring subsidies, or payment plans including following up on payment confirmed.

•        Compiles registration reports.

•        Communicates and assists in transportation logistics to ensure successful on-site operations and experience for campers and families.

•        Responds to questions and concerns from families before and after their child’s time at Camp or Clubs

•        Administers outcome measurement and/or satisfaction surveys.

•        Generates regular reports and statistics for Camp and Clubs.

•        Works with Finance staff in reconciling financial records.

•        Strategically communicates with Camp and Club alumni throughout the year as identified with supervisor.

•        Supervises the Assistant Registrar(s) and seasonal registration staff.

•        Builds and maintains strong community relationships with partner organizations, and individuals who assist with promoting and registering participants.

 

REQUIREMENTS 

•        Clear Criminal Record Check (Vulnerable Sector)

•        Post-secondary degree in relevant discipline, and 1 year experience in similar role. Or a diploma in related discipline and 3 to 5 years’ experience in similar role.

•        Demonstrated ability to operate computerized financial systems and proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

•        Ability to represent organization respectfully and provide customer service to all stakeholders (public and staff).

•        Experience with database management and report generation.

•        Ability to prioritize workload and work under pressure to ensure that deadlines are met.

•        Strong knowledge of general office procedures and practices with attention to detail and accuracy.

•        Proven organizational and time management skills.

•        Excellent communication, written and verbal skills.

•        Demonstrated ability to work independently (leading own work), supervise others, and work effectively with staff across various sites.

 

This is a full-time (37.5 hrs./week) salary position ($53,625.00), with group benefits at six months, pension after one year, three weeks paid vacation leave in first year, paid sick and personal leave, paid birthday off and up to 5 days statutory holiday substitution days per year to celebrate/recognize religious, cultural, and/or personal days that are important to the employee where those days are not currently recognized as statutory holidays in BC/Canada).
