The Archives Society of Alberta (ASA) is a provincial professional association for archives and archivists with approximately 200 members. We support the work of our members to meet the archival needs of their stakeholders. We aim to achieve our mission by providing an advisory services program, online archival database, archival supplies loan program, online directory of archival institutions in Alberta, professional development opportunities, and advocacy on behalf of the archival needs of the province.

The ASA is seeking an Administrative Assistant to perform general administrative duties, manage our membership database, and communicate with ASA members. The position is part-time, permanent (30 hours per month) and the location is in Edmonton, Alberta. The Administrative Assistant reports directly to the Executive Director/Archives Advisor. Some travel is required for this position.

Job Duties:

  • Answering member inquiries and assisting members with the membership database by updating records and trouble-shooting;
  • Supporting the planning, delivery and evaluation of the Archives Society of Alberta’s meetings, conferences, workshops and events;
  • General administrative support for ASA’s programs including maintenance of the ASA filing system, assistance with ASA mailing and other administrative tasks;
  • Drafting and/or proof-reading ASA communications which includes membership renewal notices, newsletters, notices of meetings and other member communications;
  • Producing the ASA newsletter by seeking article contributions and creating newsletter layout.

Qualifications:

  • Completion of a post-secondary program (certificate, diploma, and/or baccalaureate);
  • Ability to use Microsoft Office tools as well as Adobe Creative applications including Photoshop and InDesign;
  • Excellent communication, organizational and people skills;
  • Ability to pay attention to detail;
  • Valid driver’s license;
  • Non-profit work experience is an asset;
  • Knowledge of archives and the archival community is an asset.

Duration: Part-time, permanent for 30 hours per month
