Are you highly organized, detail-oriented, and motivated by helping things run smoothly behind the scenes? This temporary role offers an opportunity to play an important part in ensuring the accuracy and organization of CLBC's employee records and supporting our People & Culture operations.

As a People Services Administrator, your primary focus will be maintaining employee files and transforming paper records into digital format by scanning, organizing, and uploading them into our electronic records system (EDRMS). As the digitization project progresses, you may also assist with other administrative processes such as responding to inquiries, coordinating forms and documentation, and assisting with onboarding and offboarding activities.

From time to time, you will also support other areas of People & Culture, including Talent Acquisition, Benefits, or Employee and Labour Relations, gaining exposure to different functions and broadening your HR experience.

Key Responsibilities:

  • Organize and maintain employee records to ensure completeness, accuracy, and compliance with CLBC procedures
  • Digitize and upload paper files into the Enterprise Document and Records Management System (EDRMS)
  • Track and update documentation related to onboarding, offboarding, and compliance requirements
  • Support data entry, file audits, and reporting to maintain data integrity
  • Assist with administrative coordination for HR processes such as forms, correspondence, and tracking logs
  • Handle confidential employee information with discretion and provide a high standard of service
  • Provide occasional support to other People Services functions, including recruitment, benefits, or employee relations
  • Safely lift and move boxes of files as part of the document digitization process

What you will bring:

  • Minimum two years of administrative experience, preferably supporting human resources or office operations
  • Strong organizational skills and exceptional attention to detail
  • Experience scanning, naming, and organizing documents in PDF format and entering them into electronic filing systems
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Ability to maintain accuracy and consistency while performing repetitive or process-based tasks
  • Sound judgment, professionalism, and discretion when working with confidential employee information
  • Clear communication skills and a strong service orientation

We're also looking for:

The following experience and skills would be considered an asset:

  • Experience with electronic document and records management systems (EDRMS) or similar digital filing tools
  • Post-secondary coursework or certification in human resources, office administration, or a related field
  • Experience in a public sector or unionized environment
  • Familiarity with HR processes such as onboarding, benefits coordination, or records compliance
  • Those with an equivalent combination of skills, education, training and experience may be considered.

Benefits Include:

At CLBC, we value our temporary employees and offer:

  • Additional pay instead of benefits, plus 6% vacation pay on your earnings
  • Up to five paid sick days after 90 days of employment
  • Access to the BC Public Service Pension Plan when eligible
  • Wellness supports, including an Employee and Family Assistance Program
  • A flexible hybrid work model that balances office and remote work
  • Discounts on travel, cell phones, and more!

Additional Information:

At CLBC, we are committed to providing equitable compensation, recognizing that salary negotiation can be a barrier for some groups. We will engage in an objective analysis to determine a starting salary that is grounded in principles of equity and fairness
