Purpose: Program Coordinator will provide administrative, logistical and program coordination support to both the programs and operations teams. As part of the AMSSA team, this role will enhance the capacity of the settlement sector to deliver services effectively by providing logistics support for meetings and events, producing resources for and maintaining connections with service providers.

 

Classification: Full-Time Temporary Contract; November 24, 2025 – March 31, 2026; subject to extension based on funding.

 

Hours & location: 35 hours per week – work from AMSSA’s office located Metrotower II, Suite 2308, 4720 Kingsway, Burnaby, B.C. V5H 4N2 with the possibility of working from home up to 2 days a week

 

Salary & Benefits: $33.58/hour with a comprehensive benefits packing including:

•       Pro-rated 20 days of vacation and 12 days of sick leave;

•       1 day paid off for religious and cultural observance;

•       Extended health benefits after 3 months of employment; and

•       Other longer-term employment benefits including RRSP and staff recognition

DUTIES

•       Coordinates, collaborates, and supports the logistics of the meetings, Advisory Committee meetings, workshops, and other AMSSA events.

•       Coordinates team resources for AMSSA’s online, hybrid, and in-person events, collaborating with team leads to identify needs and assign roles.

•       Leads and supports onsite event hosting, coordinating catering and hospitality, and managing setup, preparation, and takedown.

•       Assists with the letter of agreement (LOA) and other contracting processes and ensures that all activities have the completed, authorized, and necessary documentation.

•       Support with researching content for activities, as well as curating and receiving quotations for contractors for AMSSA projects and activities.

•       Supports with reporting including creating and maintaining a reporting schedule, internal follow up and ensuring reports are submitted by the deadlines.

•       Works with the AMSSA team regarding equipment booking and supply needs and supports with the maintenance of the technological and event equipment inventory

•       Assists with the regular review of office supplies, keeping inventory and organization of the office and storage supplies ensuring resources are on hand and available.

•       Data entry and database management including maintaining, updating and adding AMSSA contact lists.

•       Write and prepare workplans, agendas, production schedules, evaluation surveys, reports, presentations and other documents to be used for meetings, events and resources. 

•       Creates graphics and designs including templates, newsletters, PowerPoint presentations and other publications for online and print as needed.

•       Provides technical support for online and hybrid meetings as required.

•       Facilitates meetings and events where necessary.

•       Support the AMSSA accounts payable process by submitting invoices, statements and

payment requisitions for approval.

•       File documents ensuring AMSSA files are kept up-to-date with a concerted effort to keep key hard-copy records and to digitize other records.

•       Provides administrative support to AMSSA operations, communications and programming.

 

QUALIFICATIONS

•       1 or more years’ experience in project coordination, resource development, program logistics and/or event planning.

•       Knowledge of truth and decolonization; intersectionality; justice, equity, diversity and inclusion (JEDI) principles.

•       Proven ability to plan, develop, and coordinate events and projects in in-person, hybrid, and virtual formats.

•       Exceptional organizational and time management skills, with high attention to detail.

•       Demonstrated research, analytical, and problem-solving skills, with the ability to interpret and assess a variety of information sources (policy, academic, legal, and sectoral).

•       Excellent written and verbal communication skills, including the ability to write, proofread, and edit reports, minutes, proposals, and funder documents.

•       Strong interpersonal and active listening skills, with a collaborative, professional, and solutions-focused approach.

•       Demonstrated ability to adapt in a dynamic work environment with shifting priorities and tight deadlines.

•       Ability to facilitate and engage in discussion with diverse groups and partners.

•       Proven discretion and ability to handle confidential information with professionalism.

•       Demonstrated administrative and operational coordination, including documentation, process tracking, and team support.

•       Comfortable with digital tools – Microsoft Office, SurveyMonkey, Canva, Zoom.

•       Experience with Adobe Suite, database management tools, WordPress an asset.

•       Understanding of branding and graphic design principles an asset.

•       Fluency in French is an asset.

•       Understanding of settlement, immigration and migration policy is preferred.

•       Experience in the not-for-profit, human services, or public sector is preferred.

•       Post-Secondary undergraduate degree or diploma in a relevant discipline is an asset.
