Hours of work/shifts:                           Monday 4:30-8:30pm; Tuesday 8:30am-12:30pm;

                                                           & Friday 8:30-5pm. However, shifts

                                                           may vary depending on the need of the Agency.

Reports to:                                          Medical Office Manager

 

Job Summary

The Receptionist reports to the Medical Office Manager and is responsible for support services for the Agency.

 

Duties & Responsibilities

The initial contact for community resource professionals and referral contacts.

•       Maintain professional, respectful, friendly and non-judgmental interactions with clients.

•       Maintain and be familiar with up-to-date information on community resources, referral process, eligibility, current waitlists and referrals to other services.

•       Maintaining & keep resource information updated & supplied on Waiting Room Shelf.

•       Answer phones and check voicemails. Assess and relay telephone messages to staff, as well as notify Counsellors & Outreach Workers of client inquiries. Keeping the phone system updated with current Staff Directory.

•       Schedule clients in appointment book to see counsellors and create monthly counsellor schedules by the 1st of each month. Ensure all groups & drop-ins are covered & facilitated by a counsellor.

•       Enter Group Attendance into CAMS Data Base before the end of the week. All hardcopies are filed in the appropriate binder.

•       Refill Harm Reduction cupboards, order supplies, distribute harm reduction supplies to clients & prepare Stericycle for pick up.

•       Assist Rig Dig Members with supplies, Hot Spots, recording information & payment.

•       Maintaining proper cash handling procedures & documentation, including providing receipts.

•       Update Group Schedules & Email monthly to our Community Partners.

•       Managing Social Media Accounts & Website information weekly.

•       General Housekeeping duties.

•       Provide administrative/secretarial support with faxes & filing of clinical files.

•       Oversee office operations and assisting staff with equipment and supplies.

•       Adhere to confidentiality agreements.

•       Other related duties as assigned by the Executive Director/Office Manager

 

Qualifications:

•       Completion of secondary school.

•       One-year related office education or training experience.

•       Narcan training, First Aid & Harm Reduction 101.

•       Clean Criminal Record Check.

 

Skills & Abilities:

•       Good knowledge of standard office procedures and equipment.

•       Ability to deal with clients in a professional, empathetic manner, both in person and over the phone

•       Ability to handle high stress crisis calls in a professional manner

•       Ability to work independently and/or as part of a team in a co-operative, supportive and congenial manner

•       Ability to multi-task & work well under pressure.

•       Ability to take initiative and be flexible

•       Excellent organizational, interpersonal and verbal and written communication skills

•       Knowledge of computer skills, e-mail and internet.

•       Knowledge of safe handling hazardous waste & precautionary procedures.

•       Physical ability to carry out the duties of this position.
