About the Position:

The Receptionist role involves representing WorkBC Employment Services in a positive, welcoming and professional manner. The Receptionist role is to determine the inquirers purpose, provide assistance and facilitate access to the Centre and its personnel or suggest other community resources and services. The Receptionist is responsible for ensuring the front desk duties are completed in a timely and efficient manner in order to effectively support the smooth operation of the Centre.

 

Reports to: Centre Manager

 

 

Key Duties and Responsibilities:

Client Service

  • Greets and welcomes clients and visitors, internal and external, in a professional and courteous manner
  • Provide program information and/or direct individual to appropriate Centre staff or other agencies
  • Provide information of local community services and facilitate access to resources
  • Answer all incoming telephone calls according to service standard expectations
  • Book appointments and workshops
  • Manage the general Richmond WorkBC Centre email account

Client Administration

  • Complete client eligibility checks and initial screening of clients, following established guidelines and policies
  • Manage client flow through intake and orientation
  • Arrange appointments for clients with appropriate staff members
  • Sign up clients for appointments and workshops
  • Enter case notes in ICM relating to interaction with clients
  • Assist with client reminders

Office Administration

  • Ensure that front desk areas are kept tidy, presentable and organized
  • Assist with the creation of intake orientation and workshop events
  • Maintaining adequate supply of necessary forms and other required documents
  • Administer the room booking system
  • Monitor security of Centre and lock up at end of day (set alarm, walk through, lock filing cabinets)
  • Intake administration for prescribed people (i.e. BCEA clients)
  • Check daily for electronic referrals and follow referral and intake procedures
  • Prepare letters to clients regarding attendance, intake, etc.
  • Handle incoming/outgoing correspondences and couriers
  • Other related duties as requested by supervisor

 

Qualifications and Experience:

  • Grade 12 Diploma or equivalent education
  • Completion of an administrative certificate or equivalent
  • A minimum of 3 years’ administration experience preferably in a related field
  • Experience and/or training in computer applications – MS Office; and web-based applications
  • Must be able to type a minimum of 50 w.p.m.
  • Knowledge of local employment, social service programs, community services and referral processes
  • General knowledge of EI and EA benefit systems

  • Ability to remain positive while adjusting to changing priorities
  • Ability to work under pressure and in a fast paced environment
  • Effective electronic research skills and ability to garner employment information
  • Ability to develop and maintain a collaborative network of community services, promoting client referral whenever relevant or possible
  • Strong record management skills, with clear understanding of confidentiality and security
  • Strong technical skills in MS Office and web-based applications
  • Ability to organize and prioritize a wide range of tasks efficiently and effectively (multitasking abilities)
  • Ability to maintain inventories
  • Strong administration and clerical skills
  • Team player with ability to take initiative and work with minimal supervision

 

Other Requirements:

  • Clear criminal record check required
