We deliver mental health care to children, youth and families, from a distance using educational materials and telephone support from a non-professional ‘coach’. The Administrative Assistant supports the administration team by performing general office duties such as filing, ordering, inventory and researching supplies, assisting with travel arrangements, assisting with expense claims, data entry, assisting with tracking spreadsheets, etc.



  • Assists with researching new promotional materials, ordering promotional materials and maintaining inventory for promotional materials.
  • Responsible for packing promotional materials for conferences and events, shipping and receiving promotional materials for conferences and events.
  • Maintaining file and storage systems, making new files for approval and filing once approved.
  • Updating CRM as assigned, data entry required.
  • Assisting with travel arrangements for conferences and events, researching flight information and accommodations, helping to book ground transportation in destination, etc.
  • Managing email communications, coordinating schedules, organizing meetings, ensuring prompt follow-up with meetings, and updating of applicable tracking systems.
  • Assisting with printing and collating documents.
  • Answering office phone lines, directing calls as necessary (e.g., following protocols for client related phone calls).
  • Assisting with facility and office equipment maintenance.
  • Assisting with the performance review tracking, benefits, and recruitment functions for the HR department.
  • Assisting with filling out forms, documents and checklists for the HR department.
  • General office duties and provide administrative support as required.

Work is performed in accordance with general direction from the Director of Business Development. The successful candidate will have outstanding interpersonal and organizational skills and a great team player.
