Hours of Work: 37.5 Hours / week that includes one evening/week and one weekend/month

POSITION SUMMARY:

This position reports to the Manager, Family Support Office and has the opportunity supports the Family Support Office (FSO) team, and with programming for newcomer families in Edmonton.  The Assistant is part of the MFRS culture that is one that is productive, inclusive and supports mutual learning.  This is a dynamic position is a busy office and the Assistant would thrive on change, be open to learning new skills and different perspectives.

This position will be part time and will become full time once the office opens to public and programming resumes.

RESPONSIBILITIES:

  • Support the coordination of programs for families
  • Schedule facilitators and ensure they have the necessary materials and information for their workshops and programs
  • Ensure the logistics are planned that may include booking venues and transportation, decorating venue, arranging food, and communicating information to program attendees
  • Coordinate childcare for families when parents are attending programs
  • Research program resources to benefit the families such as facilitators and physical space for programs
  • Develop and maintain community resources that families could benefit from, make referrals to MCHB and other external resources as required
  • Research relevant information and provide support to post content on organization’s social media accounts
  • Greets visitors, answer questions, and identify needs
  • Answer, screen and forward telephone calls
  • Ensure all relevant data is collected from clients and enter and maintain database
  • Updates calendars of FSO team when required
  • Word processing, compiling and recording data, maintaining files, operate office equipment, sort mail, and other administrative duties

QUALIFICATIONS:

Education: Preferred to have a minimum Diploma in Human Services, Administration, and Social Work or related work experience

Experience, Skills, and other requirements:

  • Minimum 3 years’ experience supporting community programs and administration
  • Minimum intermediate level skills in Microsoft Office and other computer programs
  • Working in a fast paced non profit environment
  • Experience in working in ways that align with MFRS principles
  • Extensive knowledge of existing community resources
  • Flexible and adaptable to varying work and change
  • Open to new experiences, learning new skills and different perspectives
  • Valid Driver’s License and access to a reliable vehicle
  • Working with immigrants and refugees is preferred
  • Fluent in English, and other languages would be an asset
  • Criminal Record Check and Child Welfare Intervention Record Check (findings are reviewed on a case by case basis)
