Position Summary:

PCRS requires a full-time administrative assistant who will work at our Newton Youth Hub. This site is a multi-program site, for youth and families in the areas of housing, counselling, drop-in youth programming, newcomer programs, and outreach programs.  The applicant will have experience working within a diverse environment and a genuine interest in working with vulnerable or marginalized individuals. The applicant will be friendly, welcoming and non-judgmental and thrive in a positive, progressive atmosphere, respecting and valuing the diversity of communities and individuals.  The program assistant is responsible for creating a warm and inviting atmosphere for participants and service providers, and to support the maintenance of a multitude of partnerships with stakeholders, including schools, community-based organizations, and other partners. Finally, these positions require working in a manner that preserves participant confidentiality and will seek to minimize this risk as per privacy and confidentiality policies and procedures.   

 

Primary Duties:

  • Provides administrative support to the Manager at NYH  and NYH staff team
  • Administrative duties include, but not limited to, the enhancement of filing systems, data collection and reporting, meeting coordination, communication mechanisms, and the development of systems to ensure efficiency.
  • Produce materials for program promotion and administration, including print and online media; assist with event coordination, preparation and marketing.
  • Provide support to youth accessing the HUB by helping with sign in, handing out snacks and drinks as well as specific program supplies on a as needed basis
  • Supports practicum student and new staff onboarding, orientation and training
  • Assist participants to connect with the right service on site, and in the community.
  • Support and/or join agency committees as needed to support site
  • Support school cook with set- up and take down of lunch program on a as needed basis
  • Manage a multi-line phone answering system and respond effectively and professionally to general phone and email inquiries and other duties as assigned.

 Academic and Job Experience Required:

  • Three to five years of reception and administrative support experience, preferably in a community-based setting.
  • Proficiency in Microsoft Office Suite: Word, Excel, Outlook, PowerPoint,
  • Experience working with at-risk individuals, within a mental health or substance use context considered an asset
  • Preference is given to those with post-secondary school diploma in office administration, or related program, or an equivalent combination of experience and education
  • Ability to work within a multidisciplinary team
  • Fluency in English essential; additional languages are an asset                                             

Basic Requirements:

  • Criminal record check including the vulnerable sector
  • Standard first aid certificate and CPR
Salary Range:     $20.22/hour – $22.95/hour, Plus benefit package (100% employer paid)
