Contributing to people, culture and innovation the Legal Assistant is responsible to support the Professional Conduct team. The Legal Assistant would primarily support Conduct Counsel in the drafting of documents, dictations and related tasks, and is an integral member of the Professional Conduct team. This opportunity is a term position, the duration is from November 2020 through to June 2021.

Your Primary Responsibilities

  • Perform daily tasks necessary to assist Complaints Director and Deputy Complaints Directors with management of files and other responsibilities
  • Prepare, draft and edit/revise legal and other documents and correspondence
  • Inputting information into files and database
  • Assist with managing file timelines and deadlines
  • Manage administrative tasks, including time sheets, scheduling of appointments and coordination of meetings
  • Coordinate the flow of documents and communications between internal and external stakeholders and registered members at all levels
  • Transcribe digital dictations
  • Manage correspondence, calendars, book and diarize appointments for Complaints Director and Deputy Complaints Directors
  • Manage incoming mail and e-mails for Complaints Director and Deputy Complaints Directors
  • Be the first point of contact for incoming phone calls, use professional phone etiquette and transfer as needed
  • Obtain court searches
  • Manage and arrange travel for Complaints Director and Deputy Complaints Directors as required
  • Manage time effectively to meet important deadlines
  • Prioritize workflow to ensure completion of accurate work within expected timelines

 

You possess

  • Post-secondary diploma or certificate in a Legal Assistant or Paralegal program
  • Minimum 3-5 years legal assistant experience
  • Experience with drafting and formatting correspondence
  • Proficiency in MS Office and database applications
  • Exceptional interpersonal, organizational, verbal and written communication skills
  • Excellent critical thinking skills
  • Attention to detail while managing a busy schedule
  • Appreciation for collaboration and thrive on extensive interaction with others
  • Ability to produce accurate and precise work within tight timelines
  • Ability to recognize and handle sensitive and confidential information in a professional manner
  • Ability to work independently as well as collaboratively in team projects
