IELCC Contract Administrator, Full-time (35 hrs per week)
The BC Aboriginal Child Care Society (BCACCS) is a Centre of Excellence for Indigenous Early Learning and Child Care (IELCC). In 2018, the First Nations Leadership Council (FNLC) mandated BCACCS to be the Regional Coordinating Structure for the implementation of and investment in the IELCC Framework in BC. Guided by a BC First Nations ELCC Framework and community- driven investment strategy, BCACCS oversees the implementation process, which seeks to enhance existing services, increase access for families, and build capacity in the IELCC sector, with the overall aim of improving outcomes for all First Nations children and families in BC.
Reporting to the IELCC Project Manager, the Administrator will support the Society’s contract management process with the goal of ensuring IELCC funding recipients are supported to complete financial reporting requirements in a timely and consistent manner. The Administrator will work independently and communicate with internal and external stakeholders and recipients in a manner that promotes positive and respectful relationships.
Responsibilities & Deliverables
Become familiar with BCACCS’s interim investment strategy and IELCC Funding Policy;
Participate in training in the Blackbaud Grantmaking platform;
Provide administrative support on a day-to-day basis to the IELCC project manager and team;
Track all funding agreements throughout the signatory process and undertake follow-up activities;
Track funding recipient compliance and report monthly to IELCC manager;
Ensure, on an ongoing basis, that funding agreement records are monitored as fully as possible, acting in concert with community facilitators and project manager to liaise with IELCC funding recipients regarding details and timelines;
Support IELCC project manager, community facilitators, and IELCC funding recipients with funding agreement financial reporting requirements and processes;
With IELCC project manager, coordinate annual follow up for audited financial statements;
Triage information received and ensure email and telephone calls are responded to and/or forwarded to appropriate staff; and
Maintain financial reporting files in Grantmaking.
Skills and Qualifications
Bachelor degree in Business, Computer Science, or a related field
5+ years experience in contracts management and/or data base administration
Excellent computer skills and proven software skills, specifically:
Advanced word processing skills (Word)
Advanced spreadsheet knowledge (Excel) including manipulating data, creation of data visualizations, formatting and formulas
Advanced database knowledge (Blackbaud products preferred) or other database knowledge
Advanced collaboration tools (Microsoft Office Suite - OneDrive, SharePoint, Teams and Zoom)
Intermediate Adobe Acrobat Reader/Writer skills, including preparing documents for e- signature, and creating fillable PDFs
Basic knowledge of OneDrive, including controlling access for internal and external users, and other generic file management tasks
Excellent interpersonal skills
Professional level verbal and written communications skills
Strong analytical skills with an ability to develop creative solutions
Sound judgment, and the ability to prioritize workload by priorities
Cultural awareness and sensitivity
Self-directed and able to work with minimum supervision
Proven success in a collaborative, team-oriented environment
Salary range: $49,140 - $54,600 per year, plus benefit package
