The BC SPCA is recruiting to fill a newly created position as Assistant Membership and Governance.    This full-time position will be located at our provincial office in Vancouver.  Reporting to the General Manager, Strategy and Innovation, this position cultivates and supports a robust and positively engaged governance community for the Society by providing meticulous administration of the Society’s membership and regional governance registers. This position delivers an engagement program to foster a welcoming relationship with governance members.

Some of the duties of Assistant Membership & Governance will:

 Membership Administration (30%)

  • Ensures accuracy of membership register and contact information for membership on three levels (Society-wide membership; regional membership; branch membership)
  • Collaborates with Generosity Services to ensure contact information for membership is aligned with donor information
  • Administers the process for inspection of membership lists
  • Prepares and processes new membership applications for approval by the Board of Directors in coordination with the Provincial Membership Committee
  • Supports the Provincial Membership Committee with respect to recommending cancellations of membership to the Board
  • Regularly ensures that all Board of Director members are in good standing with the Society and notifies CEO/EA of exceptions
  • Regularly ensures that all members of Regional Councils are members in good standing with the Society
  • Regularly updates the membership register to account for deceased members in tandem with Generosity Services
  • Maintains accurate lists of invalid addresses and returned mail from lifetime members
  • Membership Development & Engagement (30%)
  • Acts as the primary communication conduit with membership of the Society, taking direction from the CEO and EA, providing opportunities to increase the value of membership through engagement with the Society
  • In tandem with the Revenue Development and Communications Department, develops and implements an annual membership acquisition marketing campaign for the BC SPCA
  • Liaises with branches and departments with respect to supporting membership promotion
  • Proactively encourages membership renewals and processes all renewals
  • Attends Provincial Membership Committee (PMC) meetings
  • Investigates and recommends changes to membership policy to the CEO and then the PMC for ultimate approval by the Board
  • Regional Governance Engagement: (30%)
  • Coordinates the delivery of an annual regional governance engagement plan that provides opportunities for learning, consultation and regional collaboration.
  • Prepares a draft annual meeting schedule well ahead of time for all Regional Council meetings across the province for consideration and approval by the CEO and Board of Directors
  • In partnership with Regional Directors, prepares agendas and reports (where necessary) for Regional Council meetings
  • Ensures logistics are in place for all in-person and virtual Regional Council meetings
  • Assists in developing continuing education sessions for Regional Council members
  • Attends Regional Council meetings and takes minutes
  • Liaises with CEO and EA on developments or resolutions taken at Regional Council meetings
  • Issues an annual reminder and template AGM package to all Branches and Community Councils advising of requirement to host Branch AGM
  • Maintains list of dates of all branch AGMs
  • Liaises with Regional Managers and Branch Managers to secure contact information on composition of each Community Council and position held, ensuring this information is passed on to the CEO and EA
  • Notifies CEO/EA of any changes/annulment of Community Councils
  • Prepares and distributes bi-weekly email bulletins to Community and/or Regional Council members
  • Collaborates with the EA in administering the Sharepoint governance portal, including support for Community and/or Regional Councils in posting their minutes, membership lists and newsletters to the governance portal
  • Answers questions from Community and/or Regional Councils with respect to Bylaws, meeting dates and other governance matters
  • Other Administration (10%)
  • Provides reception back-up for the Provincial Office
  • Fulfills other duties and support for the GM, Strategy & Innovation
Qualifications, Experience and Competencies:
  • High school diploma plus 3-5 years’ experience in clerical support, non-profit administration, and/or community engagement; or an equivalent combination of education and experience acceptable to the Employer
  • Philosophical harmony with BC SPCA vision, mission and strategic direction
  • Strong verbal and written communication skills
  • Exceptional customer service skills; confident and clear communicator
  • Excellent organizational skills and attention to detail
  • Highly proficient with database and spreadsheet use
  • Compassionate, patient and non-judgmental approach
  • Self-starter and able to work independently as well as part of a team
  • Comfortable dealing with wide variety of people from diverse backgrounds and a strong work ethic
  • Demonstrated ability to effectively priortize workflow
  • Ability to exercise good judgement
  • Able to process sensitive topics such as animal cruelty and neglect in a professional and courteous manner
  • Proficient with MS Office with emphasis on Outlook, Word and Excel; experience with MS Sharepoint and CRM such as Raiser’s Edge desirable
  • Must not have allergies limiting or affecting exposure to animals
