Job Summary
Position: Communications Coordinator
Purpose: The Communications Coordinator is responsible for supporting AMSSA’s IRCC-funded program particularly with coordinating, preparing for and conducting National webinars, video conferences and other online events. The position is also responsible for supporting communications, as well as maintaining and posting resources on the IRCC National Community of Practice. The Communications Coordinator will prepare presentations, reports, and other related communications.
Reports to: The Operations and Communications Manager for daily supervision and overall supervision by the Chief Executive Officer.

Duties:
Communications
- Overall support of the AMSSA’s National Engagement Activities
- Post and update resources on the IRCC National Community of Practice
- Develop and maintain positive relationships with regional and national sector and governmental colleagues
- Work in partnership on national collaboration projects with OCASI (Ontario Council of Agencies Serving Immigrations) counterparts
- Develop PowerPoint presentations and supporting documents for online events
- Preparing and formatting materials to ensure usability/accessibility, fulfillment of Funder Acknowledgement(s), and AMSSA branding where necessary
- Prepare bilingual (French and English) communications and materials including liaising with translation contractors to comply with the Canadian Official Languages Act for national engagement activities where necessary
- Take meeting minutes and notes where necessary
Activity Coordination
- Organizes logistics for teleconference and online meetings, webinars and other online events including invitations and registrations, communicating with participants, preparing speaker(s) and troubleshooting with speaker(s), and running the platform backend
- Liaising with interpreters and supporting the execution of simultaneous interpretation for online events
- Assist in multimedia set-up for online events
- Assist with and support the use of meeting engagement / interactivity software
- Ensure that AMSSA laptops software and hardware are up-to-date prior to events
- Simple video conferencing or webinar video editing as required
- Other activity support as required
Administration
- Support programming administration
- Compile necessary information on national engagement activities and write activity narrative reports
- Other duties as required
Qualifications:
- University degree (graduate or undergraduate degree) in a relevant discipline, 1-3 years of experience; OR a combination of education, training, and experience that is relevant to the field of work.
- Experience and expertise at developing online events, including use of Zoom and other platforms
- Knowledge of settlement and integration policy and the needs of newcomers
- Detail oriented, highly organized and able to respond quickly to new or changing work demands
- Well-developed organization and administrative skills
- Experience in research including researching event solutions and information in order to develop resource materials
- Excellent written and verbal communication skills
- Excellent active listening, team-building and interpersonal communication skills
- Excellent time and resource management techniques
- Experience using online event platforms such as Zoom, MS Teams and GoToWebinar
- Computer literacy – Office 365 including: Microsoft Teams, Outlook, Word, Excel, Publisher and PowerPoint; Constant Contact and database management tools
- Experience in online meeting or workshop facilitation an asset
- Experience with WordPress, Adobe Creative Suite an asset
- Experience in participating on committees and in meetings, conferences, and events an asset
- Fluency in French is preferred but not required
Conditions of Employment:
- Contract dates: ASAP to March 31, 2022 pending funding
- Hours of Work: Full-time (35 hours per week)
- Salary: $28/hour
- Eligible for benefits after three months
