Procurement Coordinator


Passionate about supply chain and assuming the role of the go-to expert on all things related to procurement and contract management, we are seeking someone who can be relied upon to ensure purchasing activities are consistent, effective, and achieving maximum value for money. 

Delivering exceptional customer service while responsible for the day-to-day purchasing, acquisition and procurement of goods, services, and equipment while ensuring adherence to established policies and practices, this position will also oversee all contract management functions including supporting the organization in fulfilling its contract management accountabilities. 


The successful candidate will also perform operational duties as required such as maintaining templates and policy documents, creating and analyzing spend reports and researching information while maintaining ongoing communication with internal and external stakeholders. 

Your primary responsibilities

  • Develop and maintain contracts, contract records and purchase orders (manual and/or digital) on behalf of the organization
  • Coordinate the RFX process including development, distribution to bidders, and evaluation
  • Monitor all purchasing activity to ensure compliance with established policies and procedures
  • Ensure contractors and vendors are compliant and adhere to CARNA’s policies and standards
  • Maintain procurement and contract management policies and procedures
  • Provide support to departments with respect to contract management and administration
  • Create purchasing, contracting and spend reports as required
  • Collaborate with other purchasers in the organization and review opportunities for improvement
  • Provide procurement and contracts related training as required
  • Administer and manage electronic purchasing tools and systems
  • Coordinate vendor performance management and evaluation
  • Organize and participate in stakeholder and project team meetings
  • Provide operational support including records management, research and communication

You possess

  • Minimum two-year diploma in Supply Chain Management, Business, or related area
  • Four to six years of relevant experience in purchasing and contracts management
  • Supply Chain designation (SCMP or equivalent) is an asset
  • Knowledge of procurement and contracts best practices, methods, and trends, as well as legislation
  • Experience working within electronic purchasing systems
  • Proficiency in Microsoft Office suite
  • Effective communication skills that clearly define plans and issue resolution
  • Exceptional relation management and customer service skills with the ability to build trust and credibility
  • Analytical approach to problems, identifying solutions, and mitigating risks
  • Proven organizational, planning and prioritization skills while adhering to timelines
  • Self motivation with the ability to perform task independently and the ability to work effectively as a part of a team
