Program Description: The Youth Job Connection (YJC) program is designed to help young people between the ages of 15 and 29 facing multiple barriers to employment. It provides access to employment skills development, education/training, and work experience.

Responsibilities (include, but are not limited to):

Data Integrity and File Compliance:

  • Audits CaMS, the internal database and client files for data integrity and accuracy
  • Enters service plans for employers and participants into CaMS with 100% accuracy
  • Assesses CaMS reports, monitors program progress, and cross references statistics with internal trackers
  • Updates client employment history, placement information and service activities
  • Communicates with staff on any missing data or signatures (etc.) on documentation
  • Enters employer’s and participant’s information, follow-up notes and claims into The Career Foundation’s internal client database and/or CaMS
  • Reconciles claims with budget allocations for each placement to ensure accuracy
  • Supports staff with entering client profiles and case notes in NewOrg system
  • Enters any additional employer and participant information into the placement tracker as needed (client interviews, job development activities, etc.)
  • Performs routine file audits, while ensuring data entered into CaMS corresponds 100% with information on the internal database and electronic files
  • Assists with assembling client and employer files, closing files in CaMS, completing file checklists, and ensuring that all electronic files are audit-ready
  • Assists with 3, 6 and 12-month closed follow-up files, which includes entering outcomes into CaMS and recording follow-ups in the client’s electronic or physical file

Client Assessment & Service Planning:

  • Screens and performs intakes of potential clients for YJC & YJC Summer
  • Conducts accurate assessment of candidates’ eligibility for the program
  • Ensures all intake paperwork is entirely completed with all corresponding signatures and needed client information
  • Presents the program to participants in a clear manner ensuring that they understand the objectives of the program and the time and commitment involved
  • Conducts follow-ups with new clients that have been scheduled to start the program
  • Assesses client needs and develop service plans with appropriate interventions to help clients achieve employment goals
  • Completes referral form documentation when clients support services are being coordinated to additional support services
  • Completes case notes to document clients’ experiences, challenges and growth
  • Connects with community partners to help with program outreach and client referrals
  • Updates and maintain participant registration, assessment and tracking information on database and in electronic or physical files

Other Duties as Needed:

  • Supports program staff with clerical duties and provides coverage for team members
  • Serves as a resource in areas of quality assurance processes and procedures
  • Provides support with job fairs, fundraising initiatives and other functions, as needed

Qualifications/ Skills Required:

  • Post-secondary degree or diploma (or equivalent experience)
  • Advanced proficiency in Microsoft Word, Excel and database applications
  • Extremely detailed oriented with ability to recognize, track and resolve errors
  • Knowledge in operating CaMS /EOIS government database is an asset
  • Strong customer service skills, such as excellent verbal and written communication
  • Flexible with assisting team members as needed to ensure program goals are met
  • Ability to maintain sensitive information and exhibit tact and diplomacy with good judgment/high standards of ethics and confidentiality
  • Ability to work independently with limited supervision
  • Flexibility to work evenings and weekends, if required
