Reporting to the Executive Director, and working with a small dedicated professional team, the Administrative Coordinator performs daily administrative duties and activities, such as answering telephones, accounts receivable, preparing invoices and documents. They are also responsible for data entry of donations and issuing of tax receipts. The Administrative Coordinator works to ensure efficient operation of the office.

Additionally, AGI provides support services to families and professional caregivers, focusing on best practices in dementia care, while sensitizing the community at large through education and awareness.


Job Type

  • Full-time – 35 hours/week
  • Monday to Thursday, 9 AM to 5 PM; Fridays 9 AM to 4 PM
  • Telework and In-Office as determined by the Executive Director
  • This role is presently working remotely due to COVID-19

Following a successful 3-month probationary period:

What you’ll be doing

  • Essential duties, such as answering and routing phone calls, responding to emails
  • General assistance to visitors and clients
  • Ensure a professional appearance of all areas of the office
  • Oversee the filing system, archiving, maintaining hard and electronic files, ensuring they are current
  • Organization’s point person for maintenance, mailing, shipping, supplies, equipment needs, including IT and telephone communication
  • Manage relationships with vendors and service providers, ensuring that services are invoiced and paid on time.
  • Oversee accounts receivable by issuing invoices, tracking and promptly collecting payments
  • Data entry of accounts receivable into QuickBooks and donations into Donor Perfect, issues tax receipts
  • Ensure that accounts payable are paid in a timely manner
  • Bank deposits on a weekly basis
  • Upholds standards for data entry requirements in Donor Perfect
  • Maintain Donor Perfect database by entering new or updated donor/client information
  • Verify donor/client account data by reviewing, correcting, deleting, or re-entering data
  • Regularly checks Donor Perfect for duplication of accounts, resolving duplicates by record merge or established best practice
  • Contribute to team effort by aiding in the creation of Donor Perfect reports
  • Administrative support for fundraising, events and support services initiatives
  • Maintains donor/client confidence and protects operations by keeping information confidential
  • Remain current with donor management knowledge and charitable standards through webinars and workshops as required
  • Provides administrative support to the management team
  • Other duties as assigned


What you will bring to AGI

  • General office management and administrative assistant experience
  • General knowledge of bookkeeping, data and administrative practices and procedures
  • Understanding of charitable organization operations, CRA compliance; experience with donor management and issuing of tax receipts
  • Bilingual communication skills in English/French, written and verbal
  • Strong database and computer skills; previous experience with bookkeeping (Quickbooks or similar) and donor management software (Donor Perfect or similar), and MS Office are needed
