As part of the management team, the Executive Assistant, working with the Executive Director and Program Manager, will support the administrative, personnel and operational systems within the society. The position is permanent part-time at 35 hours/week.

EDUCATION: Administration and/or business studies, plus completion of Grade 12

TRAINING & EXPERIENCE: Two (2) years recent related experience

EXPERIENCE & PROFICIENCIES:

  • Redesign and manage personnel and administrative filing systems
  • Provide direction to employees through Re-Accreditation process and with day to day tasks
  • Participate in human resources duties, such as supervision, performance evaluation, disciplinary meetings
  • Ensure personnel files and documents are current such as criminal record checks, drivers’ abstract
  • Coordinate with bookkeeper for completion of payroll and invoicing
  • Review budgets and assess program needs, authorizing and/or recommending authorization of purchases
  • Through use of database, track purchases and report to ensure accuracy
  • Maintain policies and procedures and work with management team through revision/implementation process
  • Complete management team expense claims, ensuring accuracy for financial reporting purposes
  • Manage NCCS website, including uploading files and maintaining current information

OTHER REQUIREMENTS:

  • Proven ability to manage highly sensitive and confidential information in a professional manner
  • Quality working experience of Microsoft 365, including Excel, successful completion of assessment tests
  • Exemplary organizational, time management and verbal and written communication skills
  • Access to and use of vehicle, Class 5 drivers license with clear Driver’s Abstract
  • Clear Criminal Record review
