About the position

Provides programming support in the regional resource centres and is a key contact for maintaining service delivery across the province including, but not limited to, education planning and scheduling, maintaining and increasing health-care provider outreach, allocating referrals to support staff, managing and distributing information and materials to health care and community partners and some administrative support for delivery of First Link®  programs and services.

 

This permanent, full-time position is based in our Kelowna Alzheimer Resource Centre; however, during the pandemic, this position will work remotely.

 

Responsibilities

  • Reporting to the Manager, Regional Services, organizes and maintains systems related to First Link referrals, education planning, the First Link® Dementia Helpline (DHL), and information and materials.
  • Works closely with the Provincial Coordinator, Program Operations to ensure provincial programs and operations are standardized.
  • Organizes and allocates referrals to field staff, as advised by manager.
  • Investigates potential opportunities for educational outreach with external community partners and organizes and schedules events based on suggested frequency and regional needs.
  • Oversees attendance tool client lists; monitors waitlists and minimum and maximum program participant numbers and alerts manager of attendance numbers for planning purposes.
  • Assists Manager and Support and Education Coordinators with the development and maintenance of the annual education plan.
  • Supports the promotion of education workshops by coordinating the First Link® bulletin information, printing and distributing workshop posters and making use of other suggested promotional channels (news releases, website, print ads as needed).
  • Assists in health-care provider (HCP) outreach including outreach calls, research and distribution of information resources to health care providers and community agencies.
  • Oversees and maintains information resources and develops new community information contacts. Maintains inventory, submits monthly orders to provincial office, organizes orders received and prepares dementia education and information packages for maximum efficiency.
  • Assists with overseeing office volunteers, as needed.
  • Assists with client and community communication, as required.
  • Assists with administrative duties related to the delivery of First Link® Programs and Services, as required.
  • Other duties as required to meet the needs of the role in relation to organizational goals.

Qualifications and Experience Required

  • At least 3 years of experience at an administrative level with some project coordination experience.
  • Experience in a health or social services setting is preferred.
  • Superior administrative and organizational skills and meticulous attention to detail.
  • Excellent computer skills, experience in Microsoft Word, Excel and Outlook is essential; familiarity with PowerPoint, Publisher, databases and mail merge is an asset.
  • Excellent interpersonal and customer service skills.
  • Ability to recruit, train and supervise volunteers.
  • Flexibility to manage a variety of duties.
  • Ability to work as part of a team and with a variety of work styles and personalities.

 

Other Requirements

  • Knowledge of the local area desirable.
  • Knowledge of dementia an asset.
  • Some evening and weekend work may be required. Flexibility regarding scheduling is expected.
