PLEA Community Services is currently seeking an Excluded Full-Time Communications and Development Administrator for our Communications and Development team. The proposed start date for this position is July 12, 2021. This position is excluded from the BCGEU membership. 

The Communications and Development Administrator supports the Communication and Development team's implementation of communications and fundraising strategies, projects and initiatives. The incumbent will maintain the agency's donor database and fundraising records. The incumbent will develop internal systems for effective donor, stakeholder, and team communication.

Key Duties and Responsibilities: 

  1. Sets up, records and processes donations. Oversees the use of online donation platforms.
  2. Issues receipts and acknowledgement letters, in accordance with Canada Revenue Agency (CRA) regulations. Assists auditors and the Finance team in the completion of fiscal year-end filings for the agency.
  3. Manages the donor database to ensure the records are complete, accurate, properly formatted and up to date. Organizes the team's digital and paper filing systems.
  4. Tracks, analyzes and interprets data for the Communications and Development team. Prepares presentations, budgets and reports, and recommends improvements based on findings.
  5. Assists in the drafting, design, and production of communications and fundraising messages, tools, materials, and resources for designated programs, events and campaigns.
  6. Assists in maintaining the agency's web content. Drafts, proofs and disseminates communications and fundraising materials for the team. Executes social media strategies.
  7. Monitors the implementation of communications and fundraising activities, including media relations, fundraising campaigns and appeals.
  8. Maintains the team's fundraising procedures manual, as well as the agency's mailing lists, stakeholder lists and media lists.
  9. Maintains a current knowledge of Canada Revenue Agency and Payment Card Industry (PCI) regulations, applicable privacy laws and best practices for the recording and receipting of gifts. Provide guidance to agency staff as required.
  10. Protects and upholds confidentiality.
  11. Performs other related duties as required.

  1. Excellent written and verbal communication skills, including the demonstrated ability to copywrite effectively and communicate professionally with agency staff and external stakeholders.
  2. Effective planning, organizational and time management skills.
  3. Excellent interpersonal and collaboration skills, including the ability to work effectively with others as a team.
  4. Advanced database management skills, including the demonstrated ability to identify, resolve, and troubleshoot database issues. 
  5. Strong analytical skills, as well as basic accounting skills.
  6. Excellent attention to detail, including the demonstrated ability to identify and correct errors in documentation, reports, and data. 
  7. Demonstrated ability to handle large volumes of confidential information appropriately and with care. 
  8. Demonstrated ability to work independently, take initiative, make sound decisions and be held accountable for results.
  9. Demonstrated ability to be sensitive and understanding of individuals' social realities including issues or race, culture, religion, gender identity/expression, sexual orientation, poverty, and lifestyle. 

Qualifications

Education and Knowledge: 

  1. Bachelor's degree in business administration or a related field.
  2. Knowledge of Microsoft Office suite, donor database systems (e.g., Donor Perfect), donation platforms (e.g., Canada Helps), content management systems, social media, and web based conferencing tools. 
  3. Knowledge of CRA and privacy legislation as it relates to fundraising and donations. 

Training and Experience:

  1. Two (2) or more years of recent, relevant experience in donor database administration, including the development or related procedures. 

Requirements: 

  1. Satisfactory Criminal Record Check. 
  2. Use of Personal Vehicle. This position require travel in the Lower Mainland and the Fraser Valley.
  3. A valid B.C. driver's license (Class 5 or Class 7), and a suitable driver's abstract. 
  4. The usual hours of work in this position are Monday to Friday, from 8:30AM - 4:30PM, based on 37.5 working hours per week. Occasional evenings and weekends to attend events may be required.
  5. Documentation that applicant is legally approved to work in Canada.
