BC Housing is a provincial Crown Corporation that develops, manages and administers a wide range of subsidized housing options for those most in need across the province to address critical gaps across the housing continuum ranging from emergency shelter through to rent assistance in the private market and affordable home ownership. The Maintenance team in the Northern Region at BC Housing plays an integral role in ensuring that buildings owned and operated directly by BC Housing, and those operated by non-profit organizations, as well as group homes, are well maintained and meet the codes and standards set by the province.

Reporting to the Regional Administrative Services Manager, the Administrative Assistant in the Maintenance Department is responsible for assisting the Maintenance Manager by performing a variety of administrative duties relating to the region’s operations and maintenance activities. They prepare work orders, change orders, and purchase orders; code documentation and costs appropriately, consult the budget to ensure purchases are within budget, and provide the Supply Chain Management team with requested information.

This role ensures that all of the administration related to building maintenance, is undertaken efficiently, within budget and on time.

 

CANDIDATE PROFILE The successful candidate will have the following:

EDUCATION & EXPERIENCE:

  • Secondary school graduation, progressive experience in a highly computerized environment and experience in accounting administration. 

OR

  • An equivalent combination of education, training, and experience acceptable to the employer.

 

KNOWLEDGE, SKILLS AND ABILITIES:

Key Experience Required:

  • Accounting administration experience including working with spreadsheets, databases, and other relevant applications
  • Strong word processing and document creation abilities
  • Ability to organize and prioritize work to meet deadlines in a fast-paced environment, while responding to numerous diverse and shifting challenges without compromising the quality of the work.
  • Ability to coordinate the administrative aspects of the maintenance office, work independently and also function effectively in a team environment. Some experience with change orders, purchase orders and work orders.
  • Good understanding of IT systems and office applications, excellent computer skills, including a high level of technical proficiency with MS Office products including Word and Excel; plus an interest and willingness to learn new applications and systems as required
  • Some familiarity with project and contract administration, including procurement and tendering practices, checking the budget and scheduling.

  • Ability to exercise tact, diplomacy and good judgment when dealing with a broad range of audiences.
  • Ability to find and implement creative and practical solutions to problems.
  • Strong analytical, research and problem-solving skills.
  • Strong initiative and follow through skills.
  • Effective communication and interpersonal skills; cxcellent oral and written communication skills, with solid command of English grammar, punctuation and spelling.
