Finance & Corporate Services Administrator (7-month Contract)


The incumbent is responsible to accurately and efficiently process all types of gifts/donations, including uploading Affiliate Partner payment files and processing incoming leads. This may include donations received by cheque, cash, credit card and automatic bank withdrawals (PAD).  The Finance & Corporate Services Administrator generates and mails donor correspondence and updates financial activities related to gift processing.  This position is also responsible to support other Finance staff in reconciliations and other period end processes as well as work closely with other departments outside of Finance.



This role includes, but not limited to:

  1. Gift Processing – 70%
  • Must maintain a 97% accuracy rate
  • Create donor records as appropriate
  • Process payment batches for all credit card, PAD/PACH and cheque and cash payments (both one-time and/or recurring) and export files to the financial institution within one business day.
  • Prepare daily bank deposit slips for cheque and cash gifts and reconcile with batch processed in SMART and receipt listing prepared by Facilities.
  • Ensure supporting documents for all gifts processed are maintained in an organized manner.
  • Process workflow request from Donor Relations staff in a timely manner.
  • Generate workflow to Donor Relations staff to follow up with donors to obtain any missing information, as required.
  • Generate and mail appropriate acknowledgment letters for processed gifts within 2 business days.
  • Create interactions manually related to changes or additional information on donor’s accounts received by mail, such as change in payment method, change of address and return of cheques to donor due to missing information.
  • Assign children to donors through manual leads processing upon receipt of sponsorship forms by mail.
  • Upon discovery of errors, process appropriate adjusting entries per Children Believe business rules and/or escalate as appropriate.
  1. Leads and Affiliate Processing – 20%
  • Daily verification of donor records imported from web for accuracy
  • Timely and accurate processing of monthly Affiliate Partner payment files and support Finance team to reconcile variances between the SMART and amount received.
  • Receive, review and upload monthly topper files from Affiliate This includes uploading files to SMART monthly sponsorships assigns and cancellations and maintaining accuracy of data.
  1. Other – 10%
  • Comply with all Children Believe’s policies and procedures.
  • Perform other related duties pro-actively or as assigned.


The ideal candidate possesses:

  • Post-secondary education in a related discipline
  • 1+ years related work experience in an accounting and customer service environment
  • Sound understanding of basic accounting operations including banking procedures
  • Fast and accurate data entry skills
  • Demonstrated commitment to service excellence
  • Excellent Customer Service communication skills in writing and by telephone
  • Exercise good judgement, tact and diplomacy in donor interactions
  • Demonstrated experience researching problems, resolving issues and communicating solutions
  • Intermediate level of computer skills, specifically in MS Word, MS Excel, Outlook and Windows
  • Familiarity with customized database systems an asset
  • Ability to quickly learn and apply new system procedures as they are introduced
  • Ability to work overtime and flexible daytime hours as required

Location: The office is located at 1200 Denison Street, Markham, ON. Staff are currently working from home with some flexibility on in-office activity until further notice (due to Covid-19 related health precautions).
