Operation Smile


We are a volunteer-delivered global medical charity that provides free surgery to repair cleft lip, cleft palate and other facial differences for children and young adults.  Active in over 60 countries around the world, we exist to make sure everyone gets the safe corrective surgery and complete care they need (through comprehensive services like speech, dental/orthodontics, nutrition, social work, psychology) wherever they live in the world.

The Role


As Philanthropy Associate, you will primarily provide administrative and operations support to the Philanthropy team and contribute to growing our Individual Giving and Gift Planning programs.  You will also work directly with donor partners, following up on inbound requests and working toward managing a portfolio of partners in various stages of the donor cycle.


As part of a national team, you bring a history of supporting, collaborating, and working successfully with a remote team. 


Your Key Functions and Accountabilities

  • Provide administrative and operations assistance to the Philanthropy Team
  • Participate in Philanthropy Team strategy, prospect review and pipeline management meetings including preparing agendas and following up on actions
  • Draft, format, review, edit, and send a range of donor correspondence
  • Help build the pipeline by identifying donors who are appropriate for expanded relationships, including the use of data analytics
  • Generate proactive research and provide high quality, accurate prospect research to team members on request
  • Assist with the preparation of proposals, pitch decks, stewardship reports, briefing notes, and other donor materials and packages
  • Correspond, phone and meet with potential and prospective donors including making daily phone calls
  • Meticulously update and maintain donor database (Raiser’s Edge / RE NXT) records in a timely manner
  • Maintain a portfolio of donors which will grow over your first year in the position, with the intention to directly solicit support for our programs
  • Other duties as required

Your Skills and Traits


You have experience working in a dynamic and fast-paced environment, particularly working with individual giving, prospect research or planned giving.  The best part of your day is picking up the phone to speak with donors.


You are a self-motivated professional who can set priorities and manage multiple projects and tight timelines.  You work well independently and are committed to continuous improvement. 


You are highly oriented towards administrative support, customer service and donor care. 


Desired Qualifications and Required Skills 

  • A combination of education and relevant work experience (preferably on philanthropy teams, prospect research or planned giving)
  • Outstanding oral and written communication skills. Proficiency in a second language considered an asset
  • Exceptional aptitude for digital technologies including video conferencing, social media, and Microsoft Office software applications including Word, Excel and PowerPoint is essential
  • Experience using donor or CRM databases. Raiser’s Edge knowledge an asset.
  • Knowledge of prospect research tools and techniques. iWave experience an asset.
  • Skilled at building relationships with internal and external stakeholders
  • Motivated to learn and grow within this position and take on additional responsibilities as appropriate
  • Dedicated workspace with reliable internet service is a must for remote work
  • The ability to travel and provide own transportation as required
  • Flexibility to work the occasional evening or weekend day as required

Salary & Benefits

  • This is a full-time, permanent position (with an option to work remotely permanently)
  • The salary range for this position is $55,000 - $65,000, including paid vacation time
  • A highly competitive benefits package including an RRSP matching program
