Responsibilities (include but are not limited to):

Monitoring Service & Quality Control

  • Ensures that Employment Services (ES) team is consistently meeting and exceeding performance targets, adhering to business plan deliverables, providing relevant client support, and takes a proactive approach when any target is not on track
  • Responsible for the preparation of proposals, business plans, monthly, quarterly, and yearly reports & statistics, and other reports as required
  • Ensures that ES team provides each client with a personalized service plan addressing their individual barriers, outlining steps to their short-term and long-term goals
  • Safeguards that client files always meet audit requirements, are up to date, organized and filed appropriately for ease of retrieval and preparing reports as requested by funder and the organization
  • In collaboration with Manager Employer Partnerships and Services and with the approval of the Director, submits funder reports
  • Monitors Second Career Information Sessions at each location to ensure consistency and quality of  workshop delivery
  • Audits Second Career Applications and reviews findings with Senior Employment Specialists
  • Provides leadership and expertise to employment team in areas of career exploration, assessment, case management, Information & Referral Services (IRS), Job Search, Job Matching, Placement and Retention
  • Ensures job seekers are appropriately referred to services in the community which meet their needs
  • Represents the organization by attending community partner meetings related to the program
  • Participates in the development and implementation of an effective outreach strategy to create and enhance relationships with community partners and funders
  • Mediates conflicts or concerns between staff and clients
  • Implements and oversees a Service Quality program ensuring 100% service satisfaction of all stakeholders while meeting and exceeding overall effectiveness, customer service and efficiency targets
  • Demonstrates outstanding customer service skills with the ability to handle client complaints effectively
  • Oversees and monitors client assessments, job development, workshops etc. as necessary

 Staff Management

  • Responsible for the training and supervision of all Employment Specialist staff throughout the organization
  • Conducts yearly performance appraisals with all staff ensuring documentation is thorough and that staff have signed off on their review
  • Uses in-house quality control tools to continuously monitor staff performance towards goals, meets with team members as necessary to discuss performance matters that may be affecting outcomes
  • Provides ongoing coaching to staff and quickly addresses and documents performance issues as necessary
  • Conducts weekly team meetings to share progress towards goals, case conference and lead team in troubleshooting/ brainstorming issues
  • Oversees and approves staff attendance, sick leave, and vacation requests

 Budget Management

  • Regularly reviews and reconciles budget expenditures with finance team
  • Manages cash deposits for client supports
  • Maintains budget tracker to ensure all program expenses are spent as per agreement

 Recruitment, Onboarding and Staff Engagement

  • Assists in recruiting for team vacancies by forwarding postings to community network and other appropriate contacts, posting opportunity on one’s LinkedIn page and checking in with team members and other staff regarding possible referrals
  • Makes hiring a priority by reviewing pre-screens, booking interviews, and checking references in the absence of the Recruitment Coordinator
  • Advises Recruitment Coordinator, Operations Coordinator, Director of Programs, and Financial Controller of final hiring decisions in a timely manner
  • Ensures new staff training has been fully completed by the 6-week mark
  • Ensures new team members/ volunteers/ practicum students receive a warm welcome on their first day, and that a thorough ‘first day’ orientation is conducted


  • Shares Funder updates with the team and other managers as appropriate
  • Ensures all client data and case notes are properly documented by the team on various internal and external portals
  • Ensures all Health & Safety procedures are strictly adhered to in office and while working at home
  • Ensures the team is following all The Career Foundation Privacy Policies
  • Monitor’s paper and digital marketing materials used by the team and updates as required, with approval of the Communications Officer
  • Ensure the team’s online profile and program information is updated and relevant on The Career Foundation website
  • Collects and updates all statistical information for quick retrieval as needed
  • May be asked to oversee additional projects, at the discretion of the senior management team, from time to time
  • Other duties as required

  Qualifications/ Skills Required:

  • Minimum 5 years’ experience in Human Services, including supervision and program/project management
  • University Degree is required
  • Experience monitoring and evaluating individual/team performance and progress towards goals
  • Experience with lesson plan development and delivery of workshops with recognized learning methodologies
  • Proposal writing experience is an asset
  • Willing to go above and beyond to ensure the organization’s success
  • Experience communicating with funders to make inquiries, obtain approvals, negotiate terms, disseminate information etc.
  • Experience compiling and submitting cumulative reports to funders
  • Broad knowledge of occupations and current labour market conditions and the effect of Covid-19 on the job market
  • Strong knowledge of community resources and supports to job seekers
  • Demonstrated ability to effectively lead a team and consistently meet targets
  • Advanced skills utilizing all Microsoft Office Applications
  • Excellent verbal and written communication skills for giving and receiving instructions, participating in meetings, and writing reports
  • A professional yet personal approach with a high level of respect for the diversity of the people served and an ability to maintain client confidentiality
  • Excellent interpersonal skills, enthusiastic, open-minded, flexible, and non-judgmental
  • Customer service oriented with ability to uphold the organization’s service standards and policies
  • Strong organizational skills, able to take initiative and manage change with the ability to multi-task
  • Flexible to work some evening and weekends, if required
  • Valid driver’s license and access to vehicle is strongly preferred
