SUMMARY

 

Shepherds of Good Hope Foundation (SGHF) is a not-for-profit charitable organization that is the fundraising arm of Shepherds of Good Hope (SGH).  Its vision is funding homes, community and hope for all.  Its mission is to raise the needed funds for SGH through ethical, donor centered fundraising and sustainable financial management. The Foundation is aligned with the core values of SGH, which fosters a non-judgmental environment to provide supports to homeless and vulnerably housed adults of all genders in multiple locations across the City of Ottawa.

 

Reporting to the Senior Manager of Donor Relations & Annual Giving, the Coordinator of Database and Processing is responsible for processing all SGHF donations and entering the related data into Raiser’s Edge.

 

DUTIES AND RESPONSIBILITIES

 

 

Gift Processing

  • Process all direct response, corporate, foundation, individual, volunteer fundraising and third-party event donations efficiently and accurately
  • Reconcile Raiser’s Edge with SGH/SGHF financial statements on a monthly basis
  • Develop and produce all tax receipts/invoices and include all accompanying documentation
  • Receive, open, classify and accurately deposit direct mail donations and follow up on (NSF) cheques and other bank returns
  • Create weekly deposit cheque reports for finance
  • Generate all duplicate tax receipts and issue official tax receipt files within a 48-hr. period
  • Provide administrative support to the Foundation development team and assist the Coordinator, Donor Stewardship as needed

Database & Reporting

  • Record, verify and maintain all direct response, corporate, foundation, individual, volunteer fundraising and third-party event donors’ biographical and financial data in Raiser’s Edge with accuracy and efficiently
  • Work with the Foundation team to produce reports/queries from Raiser’s Edge
  • Complete monthly reconciliation between the Foundation and the SGH Finance department
  • Collaborate with external auditors on an annual basis to ensure Raiser’s Edge data is reconciled with SGHF official financial statements
  • Enter online CanadaHelps gifts/PayPal/Luminate etc. in Raiser’s Edge on a weekly/monthly basis

 

 

EXPERIENCE AND QUALIFICATIONS

  • Post-secondary education in fundraising, business administration or equivalent combination of education and experience.
  • Minimum of 3 years’ data entry experience in Raisers Edge within a fundraising organization.
  • Proficient in Microsoft Office (Word, Excel, Outlook, and PowerPoint)
  • Strong attention to detail and ability to set priorities and meet strict deadlines in a fast paced, challenging environment
  • Excellent written, proof-reading and editing skills are essential
  • Oral communications and superior listening skills are crucial to this role
  • Strong relationship building skills and ability to work collaboratively in a cross-departmental and multi-stakeholder team environment
  • Valid driver’s license and ability to travel to multiple locations across the city of Ottawa
  • Bilingualism (French, English) is preferred
