Children Believe is currently recruiting for the following position:  Sponsorship Coordinator

The Sponsorship Coordinator will be responsible in assisting with the coordination of the sponsorship program. This position will be a subject matter expert on the sponsorship administration and have an in-depth knowledge of actives that occur both at country level and in Canada office. Responsibilities will be focused on ensuring that sponsorship journey activities are completed, program graduation schedules are current, running reports, and working closely with the Manager, Donor Care & Sponsorship to deliver the “Leave No Donor Behind (LNDB)” initiative, which focuses on the donor experience at all levels. 

The position will also be required to support and lead sponsorship projects that enhance the sponsors overall experience. Projects will have a digital focus with the goal of donor stewardship, cultivation and retention. The Sponsorship Coordinator will maintain industry standards for digital communications for all donor related activities. Some activities include; executing digital communications and campaigns, KPI reporting, digitization of child correspondence, donor email management (including child and sponsor communications) and sponsorship eBlasts.

Team work and collaboration is a very important aspect of this role. The Coordinator will be working closely with the Donor Care & Sponsorship Manager as well as other members of the Donor Engagement team, Corporate Services, Marketing and Communications. As such, h/she must possess strong collaboration and communication skills, as well as possess a “can do” attitude to help drive results of the team and LNDB.

This role includes, but not limited to:

  1. Sponsorship and LNDB activities (50%)
  • Support the “Leave No Donor Behind (LNDB)” initiative by assisting the Donor Care & Sponsorship Manager with sponsorship tasks that will enhance the sponsors experience. This will include day-to-day support of donor activities, maintaining journey maps and matrixes, as well as KPI reporting.
  • Maintain and update digital products that are donor facing. This includes eblasts, donor videos, surveys, in memory of donation page, stewardship, and donor recognition.
  • Manage stewardship email processes and execution.
  • Develop, maintain and update process documents for primary activities such as; eblasts, digitization of child correspondence, CRM processes and others.
  • Work collaboratively with sponsorship administrators to support the program graduation process to ensure the schedule is current, documents received by country office teams, establish time lines, and revise donor communications where required.
  • Collaborate with country office staff regularly to assist and problem solve sponsorship related issues.
  • Supporting enhancements to SMART (CRM), CHIP, MailChimp, survey tool and performing testing on these devices to ensure update is working correctly.
  • Help manage our affiliate partners process including, monitoring overdue correspondence, escalations and inquiries.
  • Ensure interactions are recorded and accurate in CRM for all donor accounts after eblasts or other donor activities.
  1. Reports (20%)
  • Support the development and implementation of LNDB KPI reports.
  • Manage and maintain sponsorship dashboard reports to track overdues, assigned paid, unassigned children, and child correspondence processed.
  • Assist with D2D complaint reporting by pulling data and compiling information.
  • Uploading donor data to CRM for eblasts, survey’s, and video’s and reporting and analyzing these actions.
  1. Child Correspondence: (10%)
  • Receive, assess and distribute Country Office packages of child correspondence to the sponsor in a timely manner.
  • Perform quality assurance of correspondence and maintain commitment to Key Performance Indicators.
  • Notify Country Office staff of issues arising from packages received and provide guidance and coaching.
  1. Child Information: (10%)
  • Complete child substitutions in a timely manner following Children Believe guidelines and procedures.
  • Process all corrections to child information in order to ensure a current Children Believe database as well as keeping sponsors up to date about their sponsored children.
  • Receive responses to inquiries from the CO. Review the inquiry response for completeness, prepare a formal written response and mail out to sponsor.
  • Maintain a stipulated level of enrolled and unassigned children for each country of operation.
  • Continuously monitor the quality of child data in SMART and Children Believe website to ensure high quality standards.
  • Take timely and appropriate action to resolve quality issues
  1. Other: (10%)
  • Ensure knowledge and understanding of all Children Believe Business related to sponsorship and donor communications.
  • Review processes and recommend improvements/changes to Manager or Trainer as appropriate.
  • Comply with all Children Believe policies and procedures.
  • Other related duties as assigned.

 

The ideal candidate possesses:

  • Post-secondary diploma in related discipline or equivalent work experience
  • 3 years of customer service experience with a focus on digital marketing to steward, cultivate, retain and influence giving decisions of donors and prospects
  • Good working knowledge of MailChimp or other email software tools
  • Familiar with video software tools like Good Kind
  • Strong knowledge of a CRM, data analytics, and report writing is a must
  • Demonstrated ability to provide superior customer service; knowledge of customer service best practices with a ‘donor first’ and a “one and done” approach to meeting demands
  • Excellent verbal and written English communication and interpersonal skills
  • Business writing skills; ability to draft/edit correspondence
  • Demonstrated experience researching problems, resolving issues and communicating solutions
  • Technical skills –intermediate MS Word, Excel and Outlook; experience with digital marketing applications, aptitude to learn emerging technologies to support a paperless donor experience
  • Exercise good judgement, tact and diplomacy in donor interactions
  • Ability to quickly learn and apply new system procedures as they are introduced
  • Ability to work overtime and flexible daytime hours as required
  • Some knowledge of international development with a focus on sponsorship is an asset
  • Ability to speak and/or write in either French or Spanish will be considered an asset
