About the Position:

The Project Assistant is responsible for providing program delivery and administrative support to the Health Education Projects. This includes financial administration, client service, and administrative support activities. This position also performs clerical activities such as data entry, answering calls, and ordering supplies.

Reports to: Project Coordinator

Key Duties & Responsibilities:

  • Performs reception duties including providing project information and registering clients for workshops
  • Develops, organizes, and maintains the project filing system for items such as client records, bookkeeping records and inventory lists
  • Enters data from client files into the database
  • Compiles project statistics and aggregates data
  • Assists the team in preparing monthly, quarterly, and annual reports
  • Prepares and updates promotional materials such as brochures and social media
  • Assists in project marketing and promotion activities
  • Prepares the logistics for events such as committee meetings and workshops
  • Assists the Project Coordinator in reconciling monthly, quarterly, and annual financial statements
  • Maintains bookkeeping records of all expenses
  • Organizes and orders office and project supplies
  • Processes incoming invoices in a timely manner
  • Prepares timesheets and maintains records
  • Writes staff meeting minutes
  • Provides administrative support to the team
  • Ensures service provided meets service standards, aligns with best practices, and adheres to the agency’s policies
  • Participates in Performance and Quality Improvement (PQI) activities
  • Other related duties as instructed by the Project Coordinator

Qualifications & Experience:

  • Bachelor’s degree in Accounting/Finance, Business or related discipline, or a combination of equivalent education plus work experience
  • 1 year work experience in the social services sector
  • Experience with bookkeeping
  • Experience working with diverse client population groups
  • Knowledge and understanding of local health and community resources for diverse immigrant communities

  • Excellent computer skills in MS Office suite
  • Excellent administrative, clerical, and bookkeeping skills
  • Ability to communicate with diverse immigrant communities
