  • Minimum education requirement is a High School Diploma or GED
  • Intermediate computer skills
  • Minimum 3 years’ experience in an administrative role

What you will do:    

  • Provide support to head office departments as required
  • Work with the senior administrative assistant to prepare and monitor telephone relief schedule
  • Maintain up-to-date master contact list of all staff location/phone numbers
  • Prepare and edit correspondence, communications, presentations and other documents
  • Maintain and update administration policies and procedures
  • Take meeting minutes as required
  • Prepare correspondence, sends faxes and emails, photocopies classroom materials as required
  • Prepare and maintain filing system as required
  • Ensure accuracy of data entered into organization’s databases
  • Maintain and update directory portals with agency information
  • Monitor, screen, respond to and distribute incoming communications
  • Liaise with couriers, suppliers, property management and office cleaners
  • Order and maintain office supplies to ensure efficient office operation
  • Process and submit purchase orders as required
  • Respond to telephone inquiries and walk-in clients and provide general program information to refer clients internally and externally
  • Respond to organizational general email inquiries and refer as appropriate
  • Provide real-time support to clients by monitoring the chat function in the organization’s website
  • Schedule appointments for program staff
  • Relay messages and program inquiries from community partners
  • Attend staff meetings and participate in reporting and decision-making as required
