The Position

 

The Nanaimo Affordable Housing Society (NAHS) has a high standard expectation for this position, following the guidelines set forth by BC Housing.

Reporting to the Director of Human Resources and Organizational Administration and in accordance with Nanaimo Affordable Housing Society (NAHS) mission, strategic direction, principles and policies, the Receptionist’s primary responsibility is as the first point of contact for NAHS, providing excellence in customer service to the public, tenants, visitors, staff, and other internal and external stakeholders.

 

The Receptionist also provides ad hoc administrative support for the head office and performs other duties as required. Specific duties and responsibilities include, but are not limited to, the following:

 

  • Effectively manage telephone, online, email and in-person enquiries; obtain and provide appropriate information or redirect to the appropriate internal or external resource
  • Respond to a variety of administrative requests from the Director and other head office staff with flexibility, accuracy, and strong attention to detail
  • Deliver collaborative and professional administrative support , including (but not limited to) collecting rent payments, data entry, scanning, distributing mail and faxes, and creating documents and emails
  • Respect the rights of others; strictly adhere to privacy legislation and confidentiality for all NAHS and tenant information
  • Demonstrate superior spoken and written communication and interpersonal skills with people from a wide array of backgrounds including those with limited communication skills
  • Initiate and carry out a diverse range of duties with limited supervision in a timely manner; work efficiently to manage tasks and resources
  • Follow all WorkSafeBC regulations and NAHS health and safety protocols
  • Maintain reception area and workspace in a clean, tidy and organized manner; manage office and electronic filing systems
  • Troubleshoot basic office equipment and networking issues

Preferred qualifications include:

 

EDUCATION AND EXPERIENCE

  • Applied Business Technology Certificate, Certified Administrative Professional, or related post-secondary education, an asset
  • Minimum of 3 years related experience; experience working with vulnerable populations in a property management setting preferred
  • Experience using a variety of phone systems, office equipment and MS Office Suite; experience with VOIP and cloud-based applications including databases preferred

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Working knowledge of effective office administration systems and procedures
  • Exceptional interpersonal communication, writing ability and customer service skills
  • Superior time management, organizational and prioritization abilities; capable of working effectively within a busy and fast-paced environment
  • Attention to detail and problem-solving skills; effective skills in online research
  • Effective conflict resolution skills; ability to remain calm while performing multiple tasks; flexibility to manage changing priorities

 

OTHER REQUIREMENTS

  • Criminal Record/Vulnerable Sector Check
  • Access to reliable transportation
  • Valid First Aid Certificate (OFA) an asset
