Description: The Career Foundation’s Completing the Circle (CTC) program is a youth employment and skills development project funded by Canada’s Youth Employment and Skills Strategy (YESS). CTC fosters the development of and provides individualized support to, youth with multiple barriers to employment.

The Participant Support Assistant is an integral part of the team, ensuring that program participants receive appropriate, individualized program supports to help them succeed in their job search. The Participant Support Assistant will assess program support needs required by all participants, coordinate the purchases of those supports, and perform other essential duties, including job coaching and retention support services. 

  • Position type: This position is contingent on funding approval and is intended to be a full-time, one-year contract with good possibility of extension
  • Location: Combination of in-office work at all 3 CTC locations (Mississauga, Hamilton, and Toronto) and travelling across the GTHA to perform key functions. The successful candidate will also potentially perform some duties remotely from home on a hybrid-remote schedule, contingent on management approval.

Responsibilities include, but are not limited to the following:

Participant Supports:

  • Assesses youth participants’ needs for personal supports, including interview and work-related clothing, transportation needs and allowances, PPE and other job-related safety equipment, training, certifications, and more.
  • Researches and obtains quotes for all client support needs.
  • Organizes efforts to ensure youth receive program support funds securely.
  • Meets program participants in-person and organizes deliveries to ensure each youth receives the personal supports required.
  • Participates in taking youth participants shopping for interview and job clothing, as well as fittings for safety equipment.
  • Maintains and develops relationships with vendors and trainers and negotiates best rates.
  • Coordinates training schedules for youth participants completing job-specific training (e.g., forklift certification).
  • Maintains regular communication with youth participants regarding their program support needs and adjusts planned training and purchases when needed.
  • Maintains accurate and up-to-date documentation of all participant support expenditures for all youth participants across the 3 CTC offices.
  • Submits detailed cost expenditure reports to management.
  • Ensures the organization’s Finance team receives all necessary expenditure reports, receipts, and supporting documentation.
  • Monitors total program support expenditures for the CTC budget. 
  • Other duties as required.

Job Coaching and Retention:

  • Assists youth in the development of appropriate work habits, behaviours, and attitudes during their participation in the program and in the workplace.
  • Provides ongoing coaching and encouragement to multi-barriered youth to apply the skills learned in the program.
  • Provides individualized job-specific coaching based on each participant’s job search goals.
  • Interprets collected information to assist youth in targeting the most suitable employment based on experience, education, and existing labour market factors.
  • Performs job retention activities with youth participants and employers, including contacting youth weekly for updates on employment status when required.
  • Helps to mediate issues between employers and youth participants.
  • Opens participants files, supports with case management, and maintains accurate and up-to-date documentation in required files and online systems. 
  • Communicates with the CTC Program Coordinators regarding participant performance in relation to contract requirements and the needs of the program.
  • Attends potential employer locations with multi-barriered youth on the day of their scheduled interviews when needed to provide additional support and encouragement.
  • Prepares and submits weekly activity report.
  • Other duties as required.
Qualifications / Skills Required:
  • University degree or college diploma in business or human services, or equivalent practical work experience is required.
  • A minimum of 2 years of direct service experience in a customer-focused, administrative position, or other hands-on experience that is directly transferrable.
  • Must possess a valid Ontario G driver’s licence and have a reliable vehicle to perform key work functions that require travel across the GTHA and must also be equipped to work professionally from home with reliable internet connection to perform some remote job functions.
  • Must possess experience working with budgets.
  • Prior experience of meeting and exceeding targets preferred.
  • Excellent communication skills with the confidence to engage and develop rapport with youth.
  • Previous experience working with government-funded programs is an asset.
  • Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel), as well as Zoom, and Outlook 365 applications, including Teams, SharePoint, Forms, and Bookings.
  • Exceptional customer service skills and ability to uphold the organization’s service standards, policies, and core values.
  • A professional and courteous approach to client service with a high level of respect for the diversity of the people served.
  • Must be results-driven with exceptional organizational skills, time management, and ability to multi-task in order to meet deadlines and achieve program targets and objectives.
  • Excellent verbal and written communication skills with ability to clearly communicate information verbally and in writing, when participating in meetings and writing reports.
  • Punctual, self-motivated and self-directed.
  • Willingness to step-in to assist team members as needed to help ensure program goals are met.
  • Ability to maintain sensitive information, exhibit tact, diplomacy and good judgment, with high standards of professionalism, ethics and confidentiality.
  • Able to work independently and build strong working team relationships.
  • Must be flexible to work outside of normal business hours when needed, including evenings and weekends, during peak periods.
