We’re looking for someone who will:

  • Be responsible for processing claims for the training incentive and employment supports.
  • Maintain up-to-date financial documentation as well as client and employer files.
  • Be responsible for preparation of visa and petty cash monthly reconciliation
  • Enter data into excel spreadsheet, monitor data and provide to managers as needed. Assist with statistical and program reports
  • Help maintain and manage various client and Set up, maintain and file client records in EOIS CAMS as requested. Prepare rosters of clients as needed
  • Update client information on the JVS client tracking system and program specific database as per program needs and standards
  • Assist with organizing appointments, orientations, and workshops. Contacts employers, clients and referring agencies regarding session start dates, interviews, appointments, etc.
  • Provide front desk/ reception duties and customer service to all clients, employers and visitors
  • Provide clerical support, including editing and formatting reports, preparing and completing agency and government forms, word processing of correspondence, reports and other materials, filing, faxing and photocopying
  • Maintain office supplies and equipment. Assist location staff with all administrative and other related duties
  • Provide support to JVS satellite location in York Region when needed.


Flexible hours / evenings / weekends may be required for this position.


Minimum Qualifications & Experience:

  • High school diploma
  • 1-2 years of office administration experience
  • Experience in reading and understanding the financial statements, monitoring various calculations, and preparing reports
  • Strong organization skills; detail oriented with ability to multi task
  • Effective time management and problem solving skills
  • Effective verbal and written communication skills
  • Advanced computer skills; the ability to learn systems used by the agency
