(35 hours per week)

Located in Newton, this position will provide front-line support for the Society by performing reception and administrative duties in one of our main offices.




  • Creative in designing and formatting publications, reports, newsletters, manuals, brochures, posters, invitations, documents, business cards, name tags, certificates, calendars and forms.
  • Provides word processing support for correspondence, handouts, proposals and minutes, including proof-reading, editing and photocopying. Creates and updates Power Point presentations and compiles packages for meetings.
  • Operates and maintains office equipment - computer, printer and laminator.
  • Monitors and adjusts the heat and air conditioning for the Newton office.
  • Processes security key cards.
  • Orders and maintains inventory of janitorial supplies.
  • Provides reception staff with telephone relief for daily lunch breaks, and vacation and sick leave.
  • Makes recommendations with regard to the development of the department and participates in department evaluations.
  • Performs other related duties as required.



Education, Training, and Experience:

  • Administrative Assistant Diploma or the equivalent combination of education and experience with a strong background in computer software and design.
  • Minimum three years experience in a related position.
  • Outstanding computer skills including advanced knowledge and skills with MS Word, Excel, PowerPoint and Publisher
  • Advanced email management and internet usage experience
  • Keyboard proficiency and accuracy.

Knowledge Skills and Abilities:

  • Exceptionally well organized, dependable, and able to set priorities to meet deadlines efficiently and accurately. Must be able to multi-task, take direction and work independently.
  • Demonstrated proficiency in English written and oral communication skills; strong proof-reading and editing skills.
  • Committed to a problem solving approach and skilled in managing time sensitive material. Requires a high degree of flexibility and initiative.
  • Demonstrated discretion with handling and maintaining confidentiality and sensitive information.
  • Have a good knowledge of current trends and changes in software industry.
  • Professional telephone etiquette and a positive attitude.
  • Must be sensitive to and respectful of cultural and lifestyle diversity.
  • Strong commitment to working cooperatively with the Admin team and other agency teams.
  • Demonstrated ability to develop program related reference and resource materials.
