Annual Salary Range: $ 38, 070  –  $ 45, 867 

Under the authority of the Primary Health Services Director, the Program Assistant performs general administrative tasks related to the reception of clients and the support of the Centre de santé's professionals.

 

Responsibilities:

  • Greet Centre de santé's clients at the Reception Desk: verify their contact information, enter basic information into the system, notify the provider of their presence and complete the data entry required for electronic records

  • Greeting clients at the Centre de santé by telephone, answering general inquiries, routing calls to the provider or taking messages

  • Prepare information packages for clients

  •  Maintain a list of resources available in-house and in the community

  • Record client appointments, maintain client files in collaboration with the medical secretary

  • Receive, sort and distribute mail; control and transmit delivery slips; ensure regular and registered mailings

  • File documents and ensure the annual archiving of inactive files according to the procedure in effect

  • Tidy up the customer reception area as required to maintain a welcoming waiting room

  • Maintain an adequate supply of office supplies, maintain inventory and place orders according to established procedures

  • Participate in the general inventory of offices, storage and common areas

  •  Participate in the follow-up of the maintenance of the van (update the binder and inform stakeholders of its unavailability when necessary)

  • Provide administrative support to the Centre de santé's teams as directed by the sector management

  • Participate in staff meetings and sector meetings

  • Support the work of the medical secretary and receptionist as required

  • Any other related duties as deemed necessary by management

     

Education, Experience and Specific Requirements:

  • High school diploma
  • Secretarial or IT courses considered an asset
  • Excellent knowledge of IT and office related technologies, including electronic medical records
  • Minimum two years' experience in a customer service and office work environment
  • Speak and write fluently in French and English
  • Excellent communication skills with clients of all ages and backgrounds, especially with senior populations
  • Knowledge of oral health issues in community settings
  • Flexibility to work evenings on an as needed basis
  • Ability to work independently and as part of a team
  • Ability to adapt and manage time conflicting priorities
  • Strong problem-solving and organizational skills
  • Ability to respect confidentiality, related policies and legislation
  • Proof of vaccination against COVID-19 (or a medical ticket for exemption) will be requested
