The Program

The Position
Scheduled hours are 24 hrs/wk
Monday to Friday hours are flexible up to 24 hrs/wk
Ex. Work three 8-hour days (Ex 8:30-4:30) or 5 shorter days (Ex 8:45-2:45) making it suitable for parents with school aged children.

The successful applicant will play a pivotal role in assisting the Program Director and Team Leads in running a busy social services office, proactively responding to both routine and non-routine administrative items as needed.

In Your Role You Will
• Coordinate and prepare invoices, bills, expense claims, petty cash, payroll time sheets, personnel forms, etc.
• Assist with job interviews, conduct reference checks and credential verifications
• Maintain and securely store confidential client/employee files, documents, etc.
• Create program reports, documentation and written communications.
• Schedule appointments for various services.
• Occupational Health & Safety (OHS) representative for the site
• Direct clients to appropriate agencies, contacts and/or service providers.
• Represent WJS to clients and communities in a professional manner on the telephone and in-person reception.
• Maintain office supplies and equipment.
• Adhere to program and provincial standards as well as WJS policies and procedures.
• Liaise with funding agencies and other WJS offices.

As An Ideal Candidate You Possess
• High School Diploma
• 2 year Certificate/Diploma (Office Administration or Human Resources) preferred
• 1+ year recent experience in an office environment
• Demonstrated ability to type 60 wpm
• MS Office Suite, including Outlook, Teams and SharePoint, as well as other database and software programs
• Good word processing and spreadsheet data entry skills
• Must have a reliable vehicle
