  • Greets clients/public and directs them to appropriate service/person.
  • Operates the main switchboard, screens and directs calls to appropriate person/department.
  • Provides general information on centre/organization services and programs to clients and the public.
  • Responsible for Covid-19 assessment of all in person client appointments and visitors as per the centre’s protocol and guidelines
  • Performs client intake and registration through the organization’s online database system
  • Schedules appointments for clients.
  • Answers daily client emails on agency services and program information
  • Provides information and referrals to community partners and external organizations if required
  • Engages with various vendors and assist in troubleshooting
  • Maintains and monitors administrative records of services, activities and waitlists.
  • Prepares interoffice courier waybills and mail for delivery to other centres.
  • Accepts, sorts and routes incoming mail, deliveries and other materials.
  • Prepares and maintains centre and program material, forms and information.
  • Provides administrative support for various programs.
  • Performs other duties as required.




  • High school graduation or equivalent and 12 months office experience.
  • Working knowledge of Windows software e.g. Microsoft Word, Internet and Email.
  • Typing skills: Minimum 40 words per minute.
  • Sensitive to the needs of newcomers
  • Knowledge of office procedures.
  • Familiar with the use of VOIP (Softphone interface and Primus)
  • Demonstrated experience with databases and virtual platforms (Zoom, Google Meet, GoToMeetings)
  • Strong customer service skills and demonstrated ability to liaise with community organizations, vendors etc.
  • Verbal and written fluency in English is required
  • Ability to communicate in another language would be an asset.
  • Must have strong customer service orientation.
  • Demonstrated ability to work under pressure in high volume environment
  • Highly developed organizational skills, ability to multi-task and set priorities independently.
  • Must be able to work flexible hours including evenings.
  • Must be fully vaccinated against COVID-19.
