What you’ll do

We are seeking an emerging events professional who is inspired by our cause, is willing to accept new challenges, and has the ability to balance diverse workloads to meet deadlines while working in a fast-paced environment.


Reporting to an Event Manager, the primary focus of this role will be to provide support to the planning and execution of BCCHF’s signature events, including galas. This position may also provide support to various other events as needed.


More specifically, the Event Assistant will:

  • Provide administrative and logistical support to the planning of a large gala as well as other events, as needed
  • Track event expenditures and monitor budgets; process payments for vendor invoices as needed
  • Assist with invitation management, including coordinating distribution, managing RSVPs, and following up with invitees
  • Provide support to a volunteer organizing committee, including answering questions, organizing meetings, and ensuring they have what they need to successfully perform their volunteer role
  • Liaise with vendors to secures services and coordinate vendor set-up on event day
  • Support event volunteers; assist with the recruitment of volunteers and ensure volunteers have the information and support they need to perform their role
  • Liaise with internal teams, such as Marketing and Information Systems, to prepare online invitations and e-newsletters and other collateral to promote events
  • Facilitate auction management including coordinating auction item process from start to finish, preparing correspondence, securing and tracking silent auction and raffle prizes, finding appraisals and coordinating distribution

What you bring

As the successful candidate, you have a minimum of two years of previous experience in an administrative support and/or event logistics role, and a diploma or post-secondary degree in an applicable discipline (e.g, event management, marketing, fundraising etc). Previous experience working in a not for profit is an asset.


In addition to the qualifications, our ideal candidate has:

  • Superior organizational skills and attention to detail
  • Excellent written and oral communications skills
  • Ability to multitask diverse workloads and projects
  • Proven ability to work successfully with senior level event volunteers
  • Familiarity with accounting as it relates to monitoring budgets and expenses
  • A professional and outgoing manner and ability to interact tactfully and diplomatically with a wide variety of people
  • The ability to work within a team environment but also to work autonomously
  • A valid Class 5 BC Driver’s License
  • Flexibility with work schedule to allow for some meetings and events that may be held outside of normal working hours (early mornings, evenings and weekends)
  • Strong skills using Microsoft Office applications (Word, Excel, Outlook and PowerPoint)
  • Proficiency in Raiser’s Edge, RENXT or other fundraising database is an asset

This position is based in our office located in Vancouver, BC. Currently, BCCHF employees are working predominantly from home but looking to the future, we will be embracing a hybrid work environment where you will have the opportunity to work from home up to 50% of the time.
